Overview:

Responsible for handling the daily operations of the procurement department. Assist with procurement-related tasks such as the selection and procurement of products, creation and management of purchase orders , and tracking within the guidelines and procedures developed by Paychex and the purchasing department. Build relationships with suppliers and analyze market trends and apply this knowledge to make insightful purchasing decisions. Work is performed independently under the supervision of the Procurement Services, Supervisor.

Responsibilities:
  • Assists in planning/forecasting inventory purchases to minimize inventory stock outages by monitoring monthly usages and ordering trends. Ensure inventory stock levels are kept at appropriate levels. Coordinate with management, distribution and product owner as required. Work with the team on receiving issues and the setting up of item numbers for purchase order processing. Maintains continuous communication with internal customers and vendors in regards to delivery issues, returns, and defective items.
  • Investigates and resolves variances associated to purchase orders and/or invoices. Answers General Ledger questionnaires by providing details behind purchases associated to purchase orders, invoices and ProCard transactions. Provides Functional Managers with specific analysis regarding expenditure deployment planning and operating expenses. Process inventory and expense purchase requests.
  • Reporting- Run, review report and resolves issues: Monthly usage reports, Matching Holds Report, Open PO Report.
  • Ordering: Inclusive of, but not limited to: Forms, envelopes, paper, nameplates, and Time Clock components.
  • Reviews purchase requests to ensure compliance with our company purchasing policies and guidelines, determine availability of financial funds prior to procuring goods or services. Analyzes quotations received. Enforces policies and procedures relating to product acquisition and use. Process requisitions and update management on status of orders. Ensure the accuracy of purchase orders. Prepares orders and follows up order to expedite delivery and shipment and authorizes payments. Reconciles invoices associated to purchase orders to ensure that products received matches products ordered. Enforce policies and procedures relating to supply chain practices.
  • Analyzes, researches, sources and processes company requests and requirements for equipment and/or commodities. Negotiates purchase price with vendors. Assist in the planning and forecasting of equipment and/or commodities requirements. Reconciles the department monthly ProCard statement by comparing receipts against the credit card statement and ensure orders are coded for accounting purposes.
  • Enters, tracks and maintains all office and processing equipment in the ServiceNow database. Audits equipment status, location and any other attributes to validate the accuracy of our records against Fixed Assets.
  • Reconciles monthly department ProCard transactions by comparing receipts against credit card statement and code orders for expense allocation.
  • Acts as a system administrator responsible for managing and maintaining our third party on-line systems utilized enterprise wide (i.e. Dupli On-line, Staples, and SmartWorks).
  • Performs other duties as assigned.
Qualifications:
  • Associate's Degree in Business/Accounting - Preferred
  • 2 years of experience in Accounting or purchasing.
  • Experience with Oracle purchasing system a plus.
  • Monday-Friday 8:00AM-5:00PM


Compensation:
In the spirit of pay transparency, we are excited to share that the starting base pay range for this position is $18.07-$28.40 an hour. Please keep in mind that this range is the base pay only and does not consider other components that make up the total rewards package for the position. If you are hired at Paychex, your overall compensation will be determined based on factors such as geographic location, skills, education, and/or experience which may result in total compensation outside of this range.
