Receptionist

The Legal Receptionist is the first point of contact for our clients both in person and on the phone and therefore must be a polished professional, able to create a positive first impression for our clients. This is a full-time position and candidates must be able to work in-office, Monday-Friday, 8:30 am - 5:30 pm.
Responsibilities
To perform this job successfully, an individual must be able to perform each essential duty and responsibility accurately. The duties and responsibilities include the following, though other duties may be assigned.
•Welcoming clients and visitors upon arrival at reception.
•Answering, screening, and forwarding phone calls.
•Assisting clients and visitors with the location of legal staff.
•Scheduling and confirming appointments.
•Directing the flow of mail, faxes, and deliveries to reach the intended recipients.
•Ordering and replenishing office supplies.
•Managing the maintenance and repair of office equipment.
•Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings.
•Preparing meeting facilities, and arranging refreshments, if required.
•Adhere to business etiquette with written and verbal communication.
Qualifications

•Ability to follow written and verbal instructions.
•Candidates should be very detail-oriented.
•Excellent phone skills with progressive verbal and written skills.
•Must have a great can-do attitude.
•Bi-lingual in English and Spanish desired but not required.
•Ability to work collaboratively in a team effort and independently
•High school diploma or GED.
•Formal qualification in office administration, secretarial work, or related training.
•Qualification in paralegal studies or similar is preferred.
•Prior experience as a legal receptionist will be advantageous.
•Familiarity with legal terms, legal documents, and filing.
•Excellent written and verbal communication skills.
•Extensive experience working with word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems.
