**POSITION SUMMARY:**

The Training Event Specialist supports the Director in planning, coordinating and implementing all events and seminars for PCTI. Provides training event administrative support to the Director of PCTI, along with maintaining facility event organization, building online training registration using multiple systems, record keeping and assists with the collection and tracking of accreditation materials for all disciplines including American Psychological Association (APA), Board of Registered Nurses (BRN), CAADE and CCAPP-EI, as well as newly acquired professional boards licenses. The Training Event Specialist is the direct liaison between the instructors and PCTI.

**ESSENTIAL DUTIES AND RESPONSIBILITIES:**

Provides direct support to Director as it relates to PCTI training events.

Collects documentation for Continuing Education (CE) review and creates training folders for CE Program Administrator approval.

Maintains accurate records of all training related material on a shared drive.

Coordinates and process documentation required for the training room set-up configuration as requested by Trainers and other Departments.

Collaborates with Administrative Assistant to process instructor training agreements.

Exports survey data and creates training evaluation summary reports using multiple sources such as Cvent, LMS and Excel software.

Assists with registration, event planning, tracking and training material distribution.

Tracks attendance for PCTI trainings and creates reports as needed.

Sets-up and administers online webinars, supports and trains/prepares instructors on multiple online systems, as needed.

Uploads webinar training information documentation, creates events, set-up conference call information and oversees the effective execution of all webinars.

Works with internal and external instructors to obtain documents and/or materials needed for trainings.

Builds training events on the various online registration systems and generates monthly/quarterly reports maintained within the system.

Creates, builds and updates training items, curricula, user groups, and file path designation in the LMS system.

Manages and maintains course organization data within the LMS environment, including, but not limited to: updating course properties, creating and cloning course templates cloning departments, enrolling and troubleshooting user logins and generating standard reports.

Effectively communicates and interacts with internal and external clients, as needed.

Attends outreach and external events effectively to represent PCTI, as needed.

Provides support for all internal and external income producing training opportunities, as needed.

Provides culturally responsive on-site training support as needed.

Ability to multi-task and support new projects as needed.

Models Pacific clinics approach, mission and core values in all communication and correspondence.

Communicates effectively in a culturally competent and diverse consumer population and promotes favorable interaction with managers, co-workers and others.

Performs other duties as assigned.

**QUALIFICATIONS/SKILLS:**

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

**EDUCATION and/or EXPERIENCE/POSITION REQUIREMENTS:**

Two (2) to five (5) years of administrative assistant or event planning experience required.

Previous experience working with an online conferencing tool or program, highly desirable.

Excellent computer skills and demonstrated ability to work in Windows environment (including Word and Excel).

Must possess strong communication and writing skills.

Experience with online platforms and Learning Management System (LMS) software, preferred.

Demonstrates knowledge of eLearning formats such as: Articulate, Lectora, Captivate, etc.; Display instructional design proficiency with multiple facets including storyboarding, knowledge of Learning Management Systems (LMS), product testing and implementation, preferred.

Must possess great attention to detail and the ability to multi-task, while maintaining attentiveness and thoroughness in completion of each assignment.

Reports to work on time and maintains reliable and regular attendance.

Must possess a valid California driver's license and maintain an insurable driving record under the Clinics' liability policy.

**PHYSICAL DEMANDS:**

While performing the duties of this job the employee is frequently required to stand or sit. The employee is required to use hands to produce records and/or documentation in manual or electronic format. The employee must regularly lift and/or move up to five (5), and occasionally up to ten (10), pounds.
