SUMMARY

The Medical Compliance Specialist assist with ensuring that the clinical needs of individuals served are being met and maintained as per all state and federal regulations and in accordance with agency policy. This person will support new and existing Managers/Directors by completing regular audits of medical and other records to ensure compliance and assisting with the necessary follow up after an audit has been completed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

AUDITING/MEDICAL RECORDS:

  • Conduct pre-licensing inspection and routine audits to assure regulatory compliance.
  • Report findings to the Program Manager and Program Director and provide assistance to correct areas identified as non-compliant.
  • Audit the medical charts and Tracvia to assure that medical appointments occurred as prescribed by the MD.
  • Audit the vital signs, BM, and other medical related tracking logs to ensure completion and accuracy.
  • Assist the VP of Compliance and Safety with audits as needed. Audit the behavioral service department records as needed. Audit other records/areas as needed.
  • Communicate compliance issues and corrective actions to management and staff.
AUDITING/MEDICATION CABINET AND KARDEX:
  • Audit the medication cabinet to assure that there are no expired medications. If the medication supply is low, contact the pharmacy and order medications.
  • Audit the medication cabinet to assure that internal and external meds are stored on separate shelves.
  • Audit the kardex and report any medication/charting errors discovered.
  • Ensure staff and initial the back of the kardex.
  • Assist with ensuring the buddy check is completed for medication pass and meals on a daily basis.
  • Audit the controlled drug disposition record to ensure shift to shift count is being done and the controlled drug count is accurate.
  • Contact nurse if there are discrepancies. Ensure PRN medications have a refer to MD orders label and effectiveness of medication is documented on the back of the kardex when a PRN medication is used.
  • Administer medications as needed.
MEDICAL APPOINTMENTS & FOLLOW-UP:
  • Collaborate with nurses and other healthcare professionals to ensure individuals receive appropriate care.
  • Coordinating care plans by liaising with all necessary care providers and medical professionals to ensure the individual's needs are met
  • Review open action item list and assist with scheduling routine and specialty appointments, obtain lab and other diagnostic reports, i.e., MRI, X-Ray, Mammogram, CT Scan, Bone Density, etc...File progress reports as needed.
  • Ensure that follow-up is completed after a medical appointment. If there is a need, accompany the individual to routine and specialty medical appointments.
  • Advise staff on best practices for meeting medical compliance requirements.
  • Train staff on new and revised policies and procedures to ensure understanding and proper implementation of procedures and protocols related to medical appointments.
DOCUMENTATION:
  • As needed, prepare physician progress form for upcoming medical appointments (Ensure tops of the form is completed in its entirety).
  • Assist with assuring that the information on file is accurate.
  • Assist with obtaining reports from other disciplines and ensure recommendations are being followed/implemented.
  • Ensure med cards, pour and passes, delegations, med awareness, med error retraining, and 255ms are completed and on file.
  • Ensure hospital admissions tracking sheet is up to date and the necessary follow up occurred in a timely manner.
  • Alert the Chief Compliance Officer when the ancillary service provider's license and insurance is going to expire at least 30 days in advance.
  • Ensure quarterly medication audits were complete and are on file.
  • Assist with scheduling medication error retraining as needed.
  • Audit to ensure 255m is completed and on file for medication errors. File all medical/clinical paperwork and reports as instructed by the program nurse.
  • Prepare reports on compliance activities and findings for management and supervisor.
GENERAL DUTIES
  • Obtain and maintain medication certification as it is required for this position.
  • Assist with N95 Mask Fit Testing of agency employees as needed.
  • Reports unsafe situations in a timely manner, and follows up with appropriate corrective measure.
  • Operates motor vehicles safely and in accordance with State Law (agency and personal automobiles) while on work related duties
SALARY
  • $41,412/yr increases to 42,365/yr after 6 month introductory period
