Core Responsibilities

Front Desk/office Support

Answer Phone from Calls Center and direct calls as needed

Accounts payable for Select Division

Lead creation within client relationship management (CRM) system

Distribution/collection of lien waivers for select divisions

Role and Responsibilities

Entering work orders & contracts, sub & vendor invoices and sending to corporate by deadline

Invoicing completed work from Techs/Subs after revising the wording

Entering the completion dates into CRM

Answering phones, tracking "Past Due" invoices, completing the WIP, miscellaneous filing

Entering Work Orders into Spreadsheet, CRM & Field Force

Entering monthly Credit Card Statements, collecting receipt forms and receipts, entering monthly Menards & Home Depot statements

Send an On-Call Tech emails and text as needed

Enter Credit Card charges into the CRM/BC for ACM & TCSP

Enter accounts payable into CRM/BC (Lien Wavers)

Reconciling statements at the end of each month

Various data entry into company database as well as outside tracking databases

Example: (moving costs/market movers)

Answer phones as needed from call center forwarding

Administrative tasks (greeter, deliveries, mail)

Second in line for phones

Approves time for techs

Other duties as assigned

Qualifications and Education Requirements

Excellent verbal and written communication and grammatical skills

Ability to manage multiple tasks/projects and deadlines simultaneously

Administrative and clerical skills

Proficient computer skills, especially Microsoft Office applications

Proven ability to work well independently, collaborate with team members at all levels of the organization, and under pressure

Attention to detail; organizational skills; time management skills required

Good communication and customer service skills

Must work well both independently and as a team

Self-starter with proven ability to exceed goals

Willingness to learn additional skills required

Physical Requirements

Employees in this role must be able to sit, stand, and walk throughout the day

This person must be able to carry up to 40 pounds

Ability to work on a computer and stare at a monitor screen for long periods of time
