About the role:

The Payroll Specialist is responsible for processing payroll for ALS Group employees in the USA.

  • Responsible for the preparation and processing of bi-weekly payrolls for over 1000 employees using timekeeping and payroll systems;
  • Ensure data integrity and maintenance of same for accurate processing of salary/hourly payrolls; set up of new hires, rate increases, tax information, employee deductions, garnishments, direct deposits, and terminations within the payroll database;
  • Transmits payroll data to payroll service provider for processing in a timely manner;
  • Reconcile, file and remit monthly, quarterly and annual payments;
  • Verification and reconciliation of each pay run, and to make adjustments if necessary;
  • Prepare W2s, Vacation Balance and various payroll reports as requested;
  • Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to HR policy including compliance with federal/state regulations;
  • Resolve payroll discrepancies by collecting and analyzing information;
  • Respond in a timely and professional manner to employee inquiries;
  • Maintain employee confidence and protect payroll operations by keeping information confidential;
  • Contribute to team efforts by accomplishing related results as needed;
  • Assisting and supporting payroll system updates/configuration and implementation;
  • Providing recommendations on policy, procedure and process updates;
  • Serve as back up to other positions in the department;
  • Perform other duties as assigned.
  • Use correct methods in accordance with the established procedures and schedules while ensuring analytical quality;
  • Observe established safety regulations and comply with all ALS health and safety policies and procedures.


Responsibilities:

About you:

  • Basic knowledge of USA (Federal and State) payroll legislation;
  • Working knowledge of HR/Payroll-related guidelines and legislation;
  • Motivated and proactive with the ability to manage a heavy workload professionally and efficiently;
  • Ability to analyze problems and provide solutions;
  • Ability to meet multiple demands in a fast paced, deadline driven environment;
  • Ability to work independently and in a team environment;
  • Ability to maintain confidentiality with sensitive employee information;
  • Excellent customer service, attention to detail and organizational skills including effective prioritization and follow-up skills;
  • Excellent data entry skills, computer skills including experience with MS Windows, MS Word, and a high level of proficiency in MS Excel;
  • Excellent English communication skills both written and verbal with a high degree of diplomacy and tact.

Required Qualifications:

  • University degree/college diploma, payroll related courses/certification or equivalent related work experience required;
  • Minimum 3 years of full cycle payroll experience in a multi-jurisdiction environment would be an asset.
  • Experience with ADP Workforce systems an asset
  • (FPC) Fundamental Payroll Certification preferred

Physical Demands:

  • Ability to sit at a desk and do general office work, which includes periodic sedentary responsibilities;
  • Manual dexterity to perform repetitive tasks such as data entry.
