We are seeking a dynamic and organized Office Manager to join our residential real estate brokerage. The ideal candidate will be a highly motivated professional who thrives in a fast-paced environment and has a passion for supporting the smooth operation of a real estate office. This individual will oversee day-to-day administrative tasks, ensure compliance with industry regulations, and support agents in achieving success.

Key Responsibilities:

  • Office Operations:
  • Manage daily office activities, including scheduling, supply inventory, and maintenance of office equipment.
  • Serve as the main point of contact for office-related inquiries and communication.
  • Maintain a clean, organized, and professional office environment.
  • Agent Support:
  • Assist agents with listing coordination, transaction management, and marketing materials.
  • Provide training and onboarding support for new agents.
  • Help troubleshoot technology issues and ensure agents have the resources they need to perform their duties.
  • Compliance and Records Management:
  • Ensure compliance with state and local real estate regulations and licensing requirements.
  • Maintain and update files for transactions, contracts, and office records in accordance with legal requirements.
  • Financial and Administrative Tasks:
  • Process invoices, manage office budgets, and prepare expense reports.
  • Track commission payments and assist with payroll administration as needed.
  • Technology and Systems Management:
  • Oversee and manage office software and tools, including CRM systems, MLS platforms, and marketing software.
  • Train staff and agents on new technology and ensure efficient system usage.
  • Event and Marketing Coordination:
  • Plan and organize meetings, training sessions, and team-building activities.
  • Assist in coordinating client appreciation events and open house preparations.

Qualifications:

  • Proven experience in office management, preferably within the real estate industry.
  • Strong organizational and multitasking skills, with an eye for detail.
  • Proficiency in marketing strategy and related software.
  • Proficiency in office software, including Microsoft Office Suite, Google Workspace, and CRM platforms.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and take initiative to solve problems.
  • Knowledge of real estate laws, licensing, and compliance regulations is a bonus.

Education and Experience:

  • 3+ years of administrative or office management experience, with a focus on real estate or related fields.
