Summary

Responsible for the timely and accurate billing for Ho-Chunk, Inc. and its subsidiaries. Generate and upload fixed price and standard customer invoices based on contractual data, deposit and post daily cash receipts, follow up with customers on payment status, and provides backup relief for accounts payable activity. Under general supervision. Works on assignments that are semi-routine in nature but recognizes the need for occasional deviation for unexpected tasks. Work is checked since errors may cause delay or expense.

Essential Functions and Responsibilities

  • Work with operations and accounting staff to bill out projects, primarily for government agencies, in a timely and accurate manner through system uploads, email, and mail.
  • Set up sales and purchase orders for recurring billing needs.
  • Receive, review, and deposit customer payments and apply them to sales invoices through a system ERP. Use customer systems to research issues.
  • Assess payment status and contact customers for payment inquiries and corrections.
  • Follow up with operations on open sales order status issues.
  • Work independently and within a team on special and nonrecurring and ongoing projects.
  • Provide positive customer experience with written and verbal communications.
  • Support the AP department with occasional invoice receipt, vouchering, and payment processing as needed.
  • Maintain strict confidentiality in regard to sensitive materials that incumbent may come across.
  • Other job related duties as assigned by immediate supervisor.

Skills and Qualifications

  • Solid understanding of basic bookkeeping and account receivable principles.
  • Data entry skill.
  • Hands-on experience with spreadsheets and ERPs.
  • Proficiency in MS Office.
  • High degree of accuracy and attention to detail.
  • Ability to read and analyze detailed contracts.
  • Government contract experience PREFERRED.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.

Education and Experience

Associates degree (A.A.) or equivalent from two-year college or technical school; or two or more years related experience and/or training; or equivalent combination of education and experience.

Supervisory Responsibility

This position does not have supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position. Typical days and hours of work are Monday through Friday, 8:00 am, to 5:00 pm. Evening and weekend work may be required as job duties demand.
