JOB TITLE:Human Resources Administrative Assistant

REPORTS TO:Director of Human Resources

SUPERVISES:None

EXEMPTION STATUS:Non-Exempt

PRIMARY FUNCTION: Perform administrative tasks and services to support effective and efficient operations of TFCU's Human Resource department.

ESSENTIAL FUNCTIONS:
  1. Maintain and update employee files and associated HR systems to ensure data integrity and confidentiality across platforms including data entry for new hires (including E-Verify), exits, title changes and transfers.
  2. Process purchase orders, invoices, reimbursements, corporate credit card receipts and/or check requests for the department.
  3. Assist with preparation and execution of new hire orientation including processing orders for TFCU image attire.
  4. Process TFCU employee travel/conference requests.
  5. Respond to employment verification requests in a timely manner.
  6. Field employee requests and follow-up with relevant information. Process all HRIS password reset requests.
  7. Scan internal TFCU-employee account documents as requested and perform employee loan audits.
  8. Provide back-up for corporate lobby receptionist coverage.
  9. Abide by state and federal banking regulations. Attend training sessions and complete compliance training on an annual basis. Maintain member and TFCU privacy and confidentiality.
OTHER DUTIES/RESPONSIBILITIES:
  1. Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  2. Coordinate HR project timelines, meetings, workshops and prepare audit materials and communication.
  3. Assist with preparing job postings and screening incoming resumes.
  4. Process DES wage audits as requested.
  5. Participate in departmental activities including job fairs and organizational events/meetings.
  6. Prepare reports and presentations for internal communications as requested.
  7. Adhere to TFCU's attendance and punctuality policy.
  8. Maintain a professional businesslike appearance in accordance with TFCU's dress code policy.
  9. Engage in behavior that aligns with the credit union's cultural beliefs.
KNOWLEDGE, SKILLS AND ABILIITIES:

Education:High school diploma or its equivalent required.

Experience: Three (3) years of administrative support and/or customer service experience is required.One (1) year of Human Resources experience preferred.

Qualifications:
  1. Must be capable of functioning in a fast-paced, change-oriented environment.
  2. Must possess strong organizational skills and be comfortable performing projects in conjunction with day-to-day activities.
  3. Demonstrated ability to work with various levels of personnel using diplomacy and tact.
  4. Ability to carry out assignments with minimal supervision.
  5. Proficiency of the English language, sentence structure, proper grammar and spelling of words.
  6. Ability to speak using proper grammar to effectively communicate and convey business principles to members.
  7. Knowledge of the Microsoft Office Suite products, specifically Outlook, Word, Excel and PowerPoint.
  8. Ability to adapt to changing and progressive technology.
Availability: Monday through Friday, as scheduled.

  1. Sit, Stand, Walk and Bend: While performing the duties of this job, this position is regularly required to sit, stand, and walk. Bending is also sometimes required to reach low cabinets and drawers.
  2. Use of Hands/Fingers: To operate a computer, keyboard, mouse and other office machinery such as but not limited to; a calculator, copy machine, and printer. Additionally, this position is frequently required to sit and reach with hands and arms.
  3. Speech/Hearing: This position frequently communicates via phone and in person. Must be able to talk to/hear members and educate them on products and services offered at the credit union.
  4. Lifting: The ability to occasionally lift up to 10 lbs. is required for this position.
