Overview Lewis Brisbois, an AmLaw 100 firm with 1,500+ attorneys and 55 locations servicing 40+ practice areas, is actively seeking a Practice Management Specialist. The Practice Management Specialist will report to the Manager of Practice Management and will provide administrative and operational support on standard Practice Management Department tasks as well as on other projects as assigned to meet Firm goals and objectives. Responsibilities Enter new files into custom client database(s) as assigned by clients; update database records as case develops towards resolution. Update database to reflect litigation budget information; re-assignments of Attorneys and Claims Professionals, trial dates, mediation dates, resolution attempts and resolution details. Research and resolve discrepancies as necessary between assignments and database entries, including missing cases, etc. Perform quality control review on entered data and maintain the integrity of the data in the database. Perform database queries as needed and perform exports to Excel for analysis and distribution. Assist in writing and updating of database coding manuals and other departmental documentation consistent with client guidelines. Research document management system to locate and extract information needed to update and augment database records. Access Client Mailboxes for information needed to update database records in compliance with client guidelines. Read and summarize case status reports to extract pertinent information as per database manual and client guidelines. Format Excel spreadsheets for distribution to Practice Management team, Handling Attorneys, Vendors, and Clients. Assist in the preparation for Client Meetings, Internal and External Roundtables, Audits, etc. Perform various analyses across numerous data points (financial and non-financial) at Management’s/Client’s request. Communicate directly with attorney teams regarding guidelines, compliance, billing, and procedural issues that may impact further case handling. Complete Client Metric requests, as assigned. Keep Manager of Practice Management informed of non-compliance to Client Guidelines as directed. Review and update client rate related information in various Firm systems in compliance with client billing guidelines. Qualifications Knowledge, Skills, and Abilities: High level of experience with the Microsoft suite; especially Excel and PowerPoint. Experience with database software; development & design a plus. Expert level attention to detail with ability to not lose sight of the “Big Picture.” Familiarity with data aggregation and various financial analyses a plus. Familiarity with AFA accounts a plus. Thrives in an independent role requiring total ownership. Experience with large litigation management/class action litigation spanning across numerous jurisdictions a plus. Project management experience a plus. Excellent verbal and written communication skills.
