Position Overview: We are seeking a dynamic Administrative Assistant with 2-5 years of experience in financial services to provide comprehensive support to our Investment Team. This role will also involve providing occasional assistance to two Partners and Managing Directors within a prestigious firm. The ideal candidate will thrive in a fast-paced environment, possess exceptional organizational skills, and demonstrate a proactive approach to administrative support.
Key Responsibilities:
- Executive Support: Provide high-level administrative support to the C Suite individuals, MD's VP's, associates including managing calendars, scheduling meetings, and arranging travel itineraries.
- Communication: Serve as a primary point of contact for internal and external communications on behalf of the Partners, and MDs.
- Documentation and Correspondence: Prepare and proofread correspondence, reports, presentations, and other documents as needed.
- Office Management: Maintain office organization and efficiency, including ordering supplies and coordinating office events.
- Ad Hoc Projects: Undertake special projects and assignments as delegated by the team, which may include research, data analysis, and preparing briefing materials.
- Client Relations: Assist in managing client relationships through timely and professional correspondence and coordination of meetings.
- Team Collaboration: Work closely with other administrative staff to ensure seamless support across the organization.
Qualifications:
- Experience: 2-5 years of experience as an Administrative Assistant, preferably in financial services or a related industry.
- Education: Bachelors degree or equivalent experience preferred.
- Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with financial software and databases.
- Organizational Skills: Strong attention to detail and ability to manage multiple tasks and priorities effectively.
- Communication: Excellent verbal and written communication skills, with a professional demeanor.
- Proactive Nature: Ability to anticipate needs, take initiative, and problem-solve independently.
- Confidentiality: Discretion and ability to handle sensitive information with utmost confidentiality.
