JetCool Technologies is seeking a proactive and organized Business Development Assistant to join our dynamic team. The ideal candidate will excel in note-taking during customer, partner, and executive meetings, possess strong organizational skills to manage action items and priority lists, and demonstrate proficiency in utilizing CRM systems, particularly HubSpot. This role offers the opportunity to evolve into program management, empowering candidates to lead individual accounts and contribute to the company's growth trajectory.

Key Responsibilities:

Attending customer, partner, and executive meetings, taking comprehensive notes, and extracting actionable items and deliverables.

Organize meeting notes into clear action items and priority lists, ensuring alignment with company goals and customer expectations.

Log meeting notes, action items, and deliverables into the CRM system (e.g., HubSpot), maintaining accurate and up-to-date records.

Track progress on action items and deliverables, providing regular updates to stakeholders, customers, and senior leadership.

Collaborate with internal teams to assign tasks and push projects forward, fostering cross-functional communication and accountability.

Provide leadership with post-meeting notes, pre-meeting preparations, and weekly tracking/priority lists to facilitate decision-making and strategic planning.

Occasionally travel to trade shows and events to represent JetCool Technologies and engage with clients and industry partners.

Collaborate with commercial team in managing future sales opportunities.

Assist and prepare presentations, quotes, and marketing materials.

Requirements:

Bachelors degree in business administration, Marketing, Engineering, or related field.

At least 3 - 5 years of experience in a commercial organization in relevant roles.

Proven experience in a customer-facing role, preferably in account management or sales.

Strong proficiency in note-taking during meetings and organizing information into actionable items.

Experience with CRM systems, particularly HubSpot, is highly preferred.

Excellent organizational and time-management skills, with a keen attention to detail.

Ability to prioritize tasks effectively and work independently in a fast-paced environment.

Exceptional communication and interpersonal skills, with the ability to build rapport with clients and internal stakeholders.

Highly organized, strong attention to detail and ability to prioritize multiple projects and tasks.

Excellent interpersonal skills and the ability to collaborate effectively with people at all levels.

Exceptional communication skills, both verbal and written

Solid knowledge of computer and network systems management.

Advanced knowledge of business software, including Microsoft Excel, Word, PowerPoint, Outlook, Zoom, Adobe, and VOIP phone systems.

Handle and maintain confidential data.

Willingness to travel occasionally to trade shows and events.
