Job Description Summary
Manages the maintenance of the University Perkins and institutional loan funds. Manages the student fee assessment process including building rules and determining billable charges for all tuition and fees at the University. Also manages the Fee Portal and Workbook process. Coordinates and manages the Monthly Retiree process. Provides primary backup to the University cashier and refunding processes.

Job Description

Essential Functions:
  • Builds, maintains and runs the University fee assessment process for the billing of all University tuition and fees within Workday Student.
  • Responsible for the accuracy and validity of all tuition and fee revenue for the University.
  • Maintains and reviews all the adjustment schedules for course and enrollment drops.
  • Manages the University Fee Portal and Workbook processes to ensure accuracy in the billing of tuition and fees for all schools.
  • Responsible for the reconciliation of all charges and fees to Cost of Attendance across all schools.
  • Ability to maintain and monitor the Student Financial Services Dashboards for data integrity and trend analysis.
  • Liaison to Senior Leadership for questions involving tuition and fees.
  • Coordinates with outside loan servicer, collection agencies and the university's legal department in maintaining the Perkins and institutional loan portfolios. This includes collecting on defaulted Perkins & institutional loans, managing the e-exit interviewing process, processing LVC's, preparing electronic files to be sent to third party servicer, managing the cohort rate and assigning uncollectible Perkins loans to the federal government.
  • Administers and complies with governmental and institutional regulations related to all student loan funds.
  • Acts as the contact for students, parents, university staff, and other third parties in regards to answering inquiries involving student loans with a high degree of accuracy and timeliness.
  • Monitors, coordinates and communicates with University contracted collection agencies including preparing legal packets for Perkins and institutional loan funds.
  • Posts charges to university billing accounts including preparing appropriate journal entries to ensure the integrity of the university's general ledger.
Other Functions:
  • Serves as a backup to the University cashier by receiving, depositing, and recording all monetary transactions for the University, managing petty cash disbursements, approving departmental deposits and performing the daily balancing procedure.
  • Serves a backup for credit balance refunds for all schools.
  • Advises and assists students about their financial responsibilities to the University.
  • Other duties as assigned.
Required Education, Knowledge, Skills, Abilities:
  • Bachelor's degree in business or accounting or a minimum of three to five years of experience in a finance environment.
  • Strong presentation skills.
  • Capability to deliver first class customer service including communicating clearly and concisely in both verbal and written formats and acting professionally in managing difficult inquiries.
  • Knowledge of basic accounting skills.
  • Strong logical and reasoning skills to build fee assessment rules.
  • Proficient in Microsoft Excel and Word
  • Knowledge of Federal Student Loan Regulations and student loan servicing
  • Must exercise good judgment, discretion and patience especially with difficult inquiries.
  • Ability to work with various departments across the University in order to ensure the best customer service experience for university customers.
  • Demonstrates a high degree of independent decision-making skills.
  • Apply critical thinking skills to areas of responsibility.
  • Ability to organize workflow and coordinate activities.
  • Must possess strong diplomacy skills and the ability to make sound judgments with constituents diverse in ability and background.
  • Evaluates processes and implement efficiencies in the area of responsibility
  • Ability to multitask and prioritize position responsibilities in order to meet established deadlines.
  • Ability to keep University records confidential
  • Ability to work positively in a demanding, high volume, fast-paced, team-oriented student service environment both independently as well as collaboratively.

  • Experience in finance and accounting in a higher education environment.
  • Experience with Workday Student and Workday Finance.
