About the Position The operations department provides critical support to ensure PFI has the funds and processes to carry out its mission. Accurate and efficient grant coordination is vital to our success, allowing us to sustainably expand our work and impact, secure top talent, fund our programs and serve our overall mission. As the grants coordinator, you will play a key role in our success by supporting the administration of our diverse grant portfolio, which helps sustain our operating budget of over $11 million and encompasses a range of federal, state and foundation grants. In this role, you will maintain clean grants data and information, support staff through the grant application process and coordinate grant administration and reports. If you’re detail-oriented, adept at navigating grant language and thrive when juggling lots of moving pieces, you’re likely a good fit for this position. Duties Maintain clean grant data and information Enter grants, deliverables and reports into Airtable Complete periodic reviews of all grant data for errors Coordinate with the finance department to ensure accurate grant information in Sylogist (contract details and award card information, customer information for funder, process to submit invoices, etc.) Maintain grant files in order in accordance with our standard operating procedures Create and document grant portal logins and assist other staff with use of grant portals Coordinate grant administration with funders Serve as administrative contact on designated grants Initiate change-of-contact forms with funders as needed Initiate no-cost extensions with funders as needed Attend funder trainings for grant administrators upon the funder’s request Coordinate development and preliminary review of grant contracts with funders Coordinate reports Solicit progress updates from other staff members Write reports on designated large grants Support program staff or principal investigators as needed with drafting their reports Ensure proper approval documentation from the program director is recorded and filed for audit records Support new grant proposals Write supporting materials for grant proposals Gather and upload documents that must be included with grant proposals (990, organization budget, W-9, etc.) Create supporting documents to upload with grant proposals (current and pending biosketches, equipment statements, data management plans, etc.) Write proposal and budget narratives as needed Required Qualifications and Characteristics Knowledge of grant reporting Grant administration and compliance experience Strong communication skills Data entry skills Microsoft Office and CRM experience Basic math competency Organizational skills Ability to meet deadlines on multiple projects at once Ability to write and edit grant proposals Self-motivated and willing to learn Collaborative work style Attention to detail Desired Qualifications and Characteristics Grant writing experience Grant contract review and creation Basic understanding of the current state of agricultural production in Iowa Airtable experience Experience with federal application and reporting portals This is a full-time position based in our Ames, Iowa, office with potential for a remote schedule. The salary range for this position is $46,500 to $50,000 with annual opportunity for merit salary increases and position advancement.
