Summary:

Lewis Roca has an opportunity for a Records Analyst to work with our Information Governance (IG) team in our Los Angeles office. You will be part of a dynamic team dedicated to coordinating IG operations for the applicable firm office. At Lewis Roca, your work will help protect, restore and maximize value for our clients. This role is a full-time, non-exempt position that requires onsite attendance 5 days per week.

Duties and Responsibilities:

  • Utilize the firm Document Management System (DMS) for filing and maintenance of electronic records
  • Support the firm's ongoing file digitization project by scanning physical files and filing into the appropriate electronic workspace
  • Support the file transfer process by preparing files (physical and electronic) for review
  • Scan and shelve files in an organized fashion
  • Manage client and firm physical and electronic records under established firm and IG department policies and procedures
  • Retrieve and deliver requested files to attorneys, paralegals, and staff
  • Maintain physical files for attorneys, secretaries, and paralegals
  • Interface with the firm's external storage vendor(s) to send and retrieve files and order supplies
  • Proactively provide support to team member projects and duties where needed
  • Other duties as assigned
  • Available to perform duties in the office at least 40 hours per week (standard work schedule 8:00 a.m. to 5:00 p.m.)
Education and Experience:
  • College degree preferred. High school degree with relevant experience will be considered in lieu of a college degree
  • Minimum of two years of experience in a corporate or legal working environment required
  • Prefer experience working with legal records management systems such as IRM, Filetrail, and/or RFID
  • Proficient with Microsoft Office applications such as Outlook, Word, and Excel
Required Skills:
  • Strong technical skills relevant to Information Governance (IG) management systems (RMS/DMS), including areas specific to data conversion, document properties, and metadata management
  • Experience with iManage Worksite, IRM, and RFID preferred
  • Knowledge and experience in a variety of software programs, including, but not limited to Microsoft Office Suite, Outlook, as well as the ability to learn new software programs as needed
  • Knowledge of document scanning applications and workflows is essential
  • Exceptional organization skills and the ability to manage large amounts of paper
  • Ability to perform clerical tasks on time and respond to requests quickly and appropriately
  • Experience with Intellectual Property prosecution records preferred
  • Excellent verbal and written communication skills
  • Ability to lift, carry, push, pull, reach, stoop, and climb to complete moderately demanding physical activities
  • Ability to deal effectively with others and to work effectively in fast-paced situations
  • Ability to operate effectively, independently, and in a team environment
  • Ability to interface with attorneys, secretaries, and others in a professional manner
  • Outstanding customer service skills
  • Ability to handle sensitive information with discretion and professionalism
Pay rate: $49,000 to $59,000 per year

Compensation can vary based on qualifications and experience.
