General Summary/Overview Statement
This position will report to the Senior Administrative Manager and support day-to-day administrative activities related to the Cardiology Division's research portfolio. The Administrative/Grant Coordinator works with Sr. Grant Administrators to develop and prepare grant applications and submissions, prepare and submit reimbursements, establish and maintain frequently used files, SOPs and funding opportunities.
PRINCIPAL DUTIES AND RESPONSIBILITIES
a.

Will work with grant administrators to coordinate all aspects of grant submissions under tight deadlines, collection and coordination of internal documents from PI's and GA's, record creation and upload of application materials into Insight, budget and budget justification, format proposal documents for consistency, collect required documents from subcontractors.
b.

Compile JIT documents, IRB, IACUC, and other support pages while closely working with grant administrators.
c.

Assists with written correspondence for grant applications, renewals, modification, carry forward requests, and other research-related communication.
d.

Develop working relationships with grant administrators, investigators, research management, and external administrators.
e.

Review RFAs and other funding announcements to create a checklist with internal deadlines for upcoming proposal submissions.
f.

Maintain current Human Research Training documents for all clinical research investigators and staff.
g.

Develop collaborative working relationships with ancillary services such as research management, CTO, IACUC, Innovation, IRB, Supply Chain, accounts payable, etc.
h.

Attend monthly MGH RADG and Division of Cardiology Research Administrative meetings to keep current with federal (NIH in particular) and other sponsor requirements, timelines, and policy issues.
i.

Generate and maintain an updated PI biosketch folder.

Administrative Tasks
a.

Requisitions: prepare, enter, and track purchase orders.
b.

Employee reimbursements:Prepare and review for MGB policy compliance.
c.

Invoice processing: Submit and track invoice payments by PO or E-check.
d.

Create and maintain working SOPs for administrative tasks.
e.

Monitor funding opportunities and notify administrators of upcoming relevant RFAs
f.

Report generation and special projects as needed.
QUALIFICATIONS
1.

HS Diploma required.Bachelor's degree or some college preferred.
2.

Exceptional organizational skills, ability to handle multiple tasks, and deadline pressures.
3.

Ability to prioritize tasks effectively.
4.

Demonstrated proficiency in Microsoft Office Word, Excel, and Internet applications. Working knowledge of MGB applications (Insight, PeopleSoft, etc) is preferred.
5.

Excellent interpersonal communication skills
6.

Ability to work within the Cardiology Research Administration team and ask questions.
QUALIFICATIONS
1.
