Keep Chef, F&B Managers, and Sr Events Sales Manager informed of party guarantees that could affect scheduling. Maintain and organize banquet files, follow-up with clients on banquet contracts and guarantees. Assist Director of Events Sales and/or Events Sales Manager with coordination of events. Assist with event set-up such as setting up placards, favors, or any other details on event day as needed. Assist with ordering, following-up, billing of cakes, flowers, and musicians as needed. Book appointments for prospective clients to show them event rooms, provide information such as room availability and assist in sales when possible. Be responsible for knowledge of banquet menu items and price points. Prepare and distribute banquet event orders in a timely manner and keep all department heads informed of any changes and/or additions. Maintain helpful and cooperative relations with members, guests, and associates. Ensure that computer and office equipment are in good working condition and keep supplies available. Assign account numbers for all catering events, keep accurate billing records, process deposits, check all banquet party sheets for accuracy before forwarding to accounting, process refunds for overpayments, and process check requests for outside vendors. Prepare and process transfers, credits, and debits, interfacing with accounting and clients as needed. ENSURE A SAFE WORK ENVIRONMENT: Comply with the Company Health and Safety processes while working on projects, initiatives, and other work-related duties; perform job duties in a way that will not cause danger to self or others, or violate local, state, federal, environmental regulations. Promptly correct or report any hazard, potential hazard, or unsafe work condition to the Director of Engineering & Loss Prevention, and/or People & Culture; wear protective equipment when required; ensure work location is kept safe, clean, and organized. INITIATE PROFESSIONAL GROWTH: Consistently evaluate work for efficiency, quality, alignment with the Company's service standards, and compliance with Company policies and procedures. Seek out opportunities to enhance personal skills set relevant to job tasks. Maintain current product knowledge, best practices, and skills needed to meet the demands of your position. EDUCATION, LICENSES, AND CERTIFICATIONS: Minimum of two (2) years of experience in same or similar positions in the Retail, Hospitality, or Food & Beverage industry. High School Diploma or GED Equivalent required. Bachelor's Degree preferred but not required. ESSENTIAL QUALIFICATIONS: At least twenty-one (21) years of age. Reliable and punctual attendance. Travel (by vehicle and plane) for business, training, and/or development, including overnight trips. Bi-lingual oral, speech, and writing skill in English and Spanish or other language is an asset in this position but not required. Excellent interpersonal and customer service skills. Computer Experience: proficient in Microsoft Office programs, Outlook, and ideally Stay In Touch and Triple Seat. Excellent verbal and written communication skills; ability to convey messages clearly and compose correspondence with correct and proper grammar. Strong presentation skills; convey messages clearly and confidently; persuade and effect change positively. Excellent time-management skills; prioritizing and completing assigned job tasks effectively. Capable of working effectively independently with minimal supervision. Strong logistics skills with high attention to detail and accuracy. Strong organizational skills with the ability to prioritize effectively and efficiently meet deadlines and produce work in a timely manner. Ability to elicit and accept constructive feedback. PHYSICAL REQUIREMENTS: Exerting up to 10 lbs. of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push or pull to move objects.
