This position requires meticulous attention to detail, effective communication skills, and the ability to coordinate across multiple departments. Key Responsibilities: 1. Assist with Deal Processing: Support the Finance and Insurance (F&I) team in cleaning and addressing funding delays. Manage the stripping of deals and loading them into the shared drive. Ensure all contracted deals are closed by month-end, including tag and title work (CVR). 2. Deal Finalization and Compliance: Assist in finalizing all deals by addressing open repair orders and collecting any unaccounted-for money or refunds. Conduct VIN verification and handle all compliance paperwork. 3. Phone Management: Answer incoming calls at the desk and transfer them to the appropriate departments as needed. 4. Inventory Management: Input all new, used, and consignment units into the Lightspeed system. Ensure accuracy of HIN/Serial numbers and hours on boats for marketing purposes. 5. Delivery Coordination: Schedule rig ticket needs with sales representatives, service writers, F&I, and the General Manager (GM) upon deal completion. Utilize the 3&3 touch technique (text/email/Lightspeed calendar) to communicate with all relevant departments. Set proper dates and times for sea trials, coordinating with Sales, Service, and Parts departments. Follow up with service and parts departments to ensure synchronization with sea trials and expected delivery dates. Proactively communicate with customers regarding any expected delays before their scheduled delivery date. Requirements High school diploma or equivalent; additional education or training in business administration or a related field is preferred. Previous experience in a similar role within the automotive or marine industry is highly desirable. Proficiency in using dealership management systems (DMS) such as Lightspeed. Excellent organizational skills and attention to detail. Strong communication and interpersonal abilities. Ability to multitask and prioritize tasks effectively in a fast-paced environment.
