Job Summary: Act as the central point of contact for learning networks seeking assistance with event management and delivery of a successful event program. We are seeking an experienced Events Specialist to join our team. The ideal candidate will have a minimum of 3-5 years of event management experience, with a proven track record of successfully planning and executing events for groups ranging from 80-600 people. The Events Specialist will be responsible for all aspects of program event planning and management, ensuring professionalism, customer satisfaction, and successful outcomes.

Responsibilities:

Event Management:

Plan, organize, and execute a wide range of impactful events, including conferences, meetings, seminars, and hospital events.

Manage all aspects of event projects, including needs assessment, budgeting, financial management, and cost control.

Participate in meeting or event design, ensuring that the event layout, décor, and logistics are aligned with client expectations and objectives creating impactful experiences.

Demonstrate flexibility in adapting to changing event requirements and completing high volume of competing priorities.

Lead and manage event teams, providing guidance and support to ensure seamless execution.

Contribute to the strategic planning of events, ensuring alignment with organizational goals and objectives.

Venue Sourcing/Contract Negotiation:

Research and source event venues utilizing RFP and other sourcing tools and manage contract negotiations including concessions, room block management, meeting room rental, food and beverage minimum, internet requirements, cancellation policy, etc.

Risk Management:

Conduct risk assessments and develop risk management strategies to minimize potential issues.

Resolve conflicts and address any issues that arise during the planning and execution process as well as on site at venue.

Relationship building:

Build and maintain strong relationships with clients, vendors, partners, and stakeholders to ensure successful collaboration and event execution.

Provide exceptional customer service and ensure that all client needs and expectations are met or exceeded.

Qualifications:

EDUCATION/EXPERIENCE Required:

Bachelor’s degree in a related field

Minimum of 2-5 years of event management experience (also virtual event experience a plus)

Qualifications:

Strong professionalism and ability to represent the organization in a positive manner.

Strong negotiation and analytical skills.

Excellent verbal and written communication and collaboration abilities.

Strong leadership skills to effectively guide and manage event teams.

Exemplary customer service skills

Adept at managing self and projecting a positive image when dealing with high-pressure situations in a constantly changing environment.

Customer-focused mindset with a dedication to delivering exceptional service.

Ability to anticipate project needs and utilizing time management skills to meet deadlines.

Must be available for occasional overnight & weekend travel (in & out of state)

Highly organized with outstanding attention to detail

Individual who is creative and offers new ideas, thinking outside of the box.

Ability to work independently and as a member of a team.

Proficient in project management, including budgeting, financial management, and cost control.

Preferred:

CMP certification (Certified Meeting Professional)
