Responsibilities

•Greet clients and visitors warmly, maintaining a professional and welcoming atmosphere
•Answer incoming calls and provide accurate information or direct inquiries as needed
•Manage front desk operations, including scheduling appointments and coordinating meetings
•Conduct client intake interviews, ensuring thorough documentation of client information
•Assist in managing incoming and outgoing correspondence, including mail and emails
•Collaborate with the team to support client matters and provide administrative assistance
•Evaluate prospective client inquiries and phone calls, analyzing their case fit and making sure they feel seen and heard
•Organize paperwork and perform data entry in our case management system to streamline new client onboarding and current client files
•Manage attorney schedules, including prospective client consultations, to foster caseload growth
•Conduct various tasks around the office such as managing spreadsheets, writing emails, faxing and copying, and transcribing notes to make sure all processes run smoothly
•Work with marketing to collaborate on outbound sales tactics and partnerships with other law firms in order to help bring in new cases

Qualifications

•Personal Injury/Medical Malpractice intake experience preferred
•Experience with Lead Docket and/or Filevine a plus. Will train.
•Excellent Bi-lingual English/Spanish verbal and written communication skills required
•Associate or bachelor's degree preferred. Experience in lieu will be considered.
•Strong interpersonal and organizational skills with attention to detail, a must
•Tech savvy and proficiency in Microsoft Office Suite and able to learn new software quickly
