Who We Are
Vault Dance Studio is a premier ballroom dance studio located in Eugene Oregon. We currently teach all ballroom styles of dance including: Smooth, American Rhythm, International Ballroom, and International Latin. We offer group classes and private lessons to adults and kids. We offer our students an opportunity to perform their dances in our local showcase events, and travel to competitions nation wide.
Position
We are seeking a friendly, outgoing, and organized Front Desk/Administrative Assistant to join our dynamic team at Vault Dance Studio. This role is essential in ensuring smooth daily operations, providing excellent customer service, and supporting the administrative, needs of our studio. This position is the first impression our students and potential customers will see. It is important to have an outgoing, friendly disposition and feel comfortable talking to people. Work Schedule
- This is a part time position.
- Days and hours will be as follows:
- Tuesdays, Wednesdays, and Thursdays 4:00pm 8:00pm
- Potential for more hours and days as the studio adds more classes.
Responsibilities
- - Front Desk Management:
- Greet clients and visitors with a warm and professional demeanor.
- Answer phone calls, respond to emails, and manage inquiries regarding class schedules, registration, and studio policies.
- Handle check-ins and check-outs for classes, showcases, and private sessions.
- Customer Service:
- Provide information and assistance to clients, addressing their questions and concerns promptly and effectively.
- Process registrations, payments, and cancellations.
- Maintain a positive and welcoming atmosphere for all clients and guests.
- Administrative Support:
- Assist with scheduling and coordinating classes, events, and private lessons.
- Maintain and update client records and studio files.
- Prepare and distribute promotional materials and newsletters.
- Studio Operations:
- Ensure the studio environment is clean, organized, and ready for daily activities.
- Assist with setting up and breaking down equipment and supplies for classes and events as needed
- Monitor and report any maintenance or safety issues.
- Collaboration:
- Work closely with instructors and management to support studio needs and ensure efficient operations.
- Attend team meetings.
Requirements
- Previous experience in a reception, customer relations, or administrative role is preferred.
- Proficiency or familiarity with scheduling software.
- Excellent communication and interpersonal skills.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Friendly and professional demeanor with a customer-focused approach.
- Interest in, or experience with, ballroom dance is a plus, but not required.
Supervision
This person reports to and is supervised by the Owner of the studio, Deborah Wright.
