Construction Project Assistant

Job Summary:

We are seeking a competent assistant to support three project managers in cold storage construction projects. The ideal candidate will thrive in a small family business and have excellent communication and organizational skills, with the ability to multitask and prioritize tasks effectively.

Responsibilities:

  • Answer and direct phone calls in a professional manner.
  • Manage incoming and outgoing project correspondence, including mail and email.
  • Schedule appointments and meetings, and maintain calendars for management.
  • Track project submittals and procurement status
  • Handle administrative requests and queries from senior managers.
  • Maintain electronic and hard copy filing systems.
  • Provide general administrative support to staff as needed.
  • Coordinate travel arrangements for staff and management.
  • Assist with event planning and coordination.
  • Ensure office equipment is properly maintained and serviced.
  • Maintain orderliness and cleanliness in common office area and conference room.

Qualifications:

  • Proven experience as an administrative assistant or project admin.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Familiar with project management software systems.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • High school diploma; additional qualification as an Administrative Assistant or Secretary will be a plus.
