We are committed to the professional development of our team members, offering opportunities for growth and advancement within our global organization.Key ResponsibilitiesCollaborate closely with our travel management company to secure bookings for Victaulic employees, ensuring a seamless travel experience.Take charge of coordinating meeting and event logistics from start to finish, including but not limited to, gathering initial information, setting timelines, managing attendee lists, and overseeing all logistical aspects such as audiovisual equipment, transportation, catering, and dcor.Serve as a central communication point, effectively liaising with internal and external stakeholders, including hotel staff and vendors, to ensure smooth operations.Foster a customer-centric approach in all communications, ensuring all attendees receive timely and accurate information.Demonstrate exceptional organizational skills in overseeing the logistics of meetings and events, ensuring each detail is considered and executed to the highest standard.Ensure an exemplary employee/traveler experience by proactively addressing and resolving any issues, maintaining our commitment to high-level service.CompetenciesExceptional Organizational Skills : The ability to manage multiple tasks simultaneously, maintain attention to detail, and effectively prioritize responsibilities is paramount.Strong Interpersonal and Communication Skills : Effective communication, both written and verbal, with a diverse range of stakeholders including team members, senior management, vendors, and clients is critical.Problem-Solving Ability and Adaptability : In travel and event planning unforeseen challenges will arise. The ability to quickly assess situations, make informed decisions, and adapt strategies accordingly is essential for ensuring the continuity of plans and the satisfaction of all parties involved.Customer Service Orientation : A focus on delivering high-level service, with the ability to anticipate and meet the needs of employees/travelers and internal stakeholders, underscores the importance of this role within the organization.Technical Proficiency : Proficiency in relevant software, including Microsoft Office Suite (Excel, Word, PowerPoint) and any specific event management or travel booking platforms, is necessary for efficient planning, coordination, and communication.Attention to Detail : The intricacies of travel and event planning demand a meticulous eye for detail to ensure that all aspects are considered and executed flawlessly, from logistics to attendee experience.Resilience and Stress Management : The ability to remain calm under pressure, manage stress effectively, and maintain a positive demeanor during busy periods or when facing challenges is crucial for personal effectiveness and team morale.Preferred Skills3+ years' experience in travel, meeting, and event planningStrong understanding of meetings, events, and hospitality technology and proficiency in industry-leading travel and event management platforms, such as Concur Travel and Expense instances and CVENT.Strong interpersonal skills with a proven ability to develop and maintain positive relationships across all levels of the business.Excellent organizational abilities, including the skill to multitask, manage time effectively, and maintain a keen attention to detail even under pressure.Proficiency in Microsoft Office Suite, with particular emphasis on Excel, Word, and PowerPoint, to produce high-quality documents and presentations.A resilient and adaptable demeanor, capable of making informed decisions swiftly and managing stressful situations with grace.#TOP123 #LI-GB1 #LI-ONSITEWhen you join Victaulic, you do not simply advance your career.
