This position is responsible for maintaining school fiscal records including, but not necessarily limited to, internal accounts, school budget, applicable grant funds, purchasing and procurement, fund-raising, and cash receipts and disbursements.

PERFORMANCE RESPONSIBILITIES

Essential Functions:
1. Maintains the school fiscal records including, but not necessarily limited to, school internal accounts and school budget; applicable federal, state and/or grant funds; school purchasing and procurement functions; school fund-raising; and processing cash receipts and disbursements.

2. Performs accounting and bookkeeping functions including, but not necessarily limited to, receiving funds, issuing payments and receipts, deposits and bank reconciliations, purchase requisitions, budget transfers, journal postings, and general/subsidiary ledgers maintenance.

3. Issues purchase orders in connection with school funds, verifies invoices and receipts, including internal accounts and budget accounts, and issues checks to vendors.

4. Ensures the maintenance of balanced budget accounts; verifies and monitors availability of funds; ensures both Principal and the District are continuously apprised of school financial status.

5. Analyzes and prepares routine and special statements/reports regarding school financial status/operations in accordance with District policies, procedures, audit requirements and regulatory standards.

6. Attends monthly trainings per various departments throughout the District, as the bookkeeper is a financial liaison on matters relating, but not limited to, accounting, purchasing, budget, treasury, facility management, exceptional student education, transportation, warehouse, capital assets, payroll, risk management, aftercare and adult education.

7. Receives and responds to inquiries and resolves discrepancies relating to the school’s financial management.

8. Prepares year-end closing and related reports for internal account audit; maintains appropriate audit trails to assist with year-end closing functions.

9. Performs various school purchasing and procurement functions including, but not necessarily limited to, ordering all school needs, receiving merchandise and equipment; tagging capital assets; resolves vendor issues and discrepancies; and reconciliations for submission to District.

10. Participates in District-sponsored training and in-service to maintain knowledge, skills and abilities necessary to successfully perform essential functions of the position, i.e., monthly bookkeeping meetings, IT security, purchasing card training, and registration process.

11. Assists with annual budget preparation and administration, including monitoring adherence to established budget parameters to maintain a balanced budget and accomplish school goals.

12. Assists with administrative office functions in support of efficient school center operations.

13. Maintains online payment module which consists of, but is not limited to, creating, monitoring, reporting, and handling necessary refunds and update fees presented to parents, students and the public who wish to utilize the District’s credit card payment option.

14. Monitors purchasing card expenditures and reconciles monthly billing to comply with appropriate funding; must review for accuracy and compliance, then process monthly statements for all card holders.

15. Through regular trainings the bookkeeper provides the advice, instruction, and tools to comply with the regulations set forth from the FDOE concerning the following, but not limited to, accounting, purchasing, disbursements, budget, treasury, purchasing cards, grants, capital assets, payroll, aftercare, field trips, travel, fundraising, facility modifications, event tickets, facility leasing, internal & external organizations, and consultants. (These regulations are reviewed through the annual internal audit.)

16. May assist the Directors and Assistant Principals who run revenue based programs with budgets, purchases, consultants and FDOE compliance.

17. May participate in other trainings, i.e., health room designee, AED machine use, CPR, Vital, PCM, Crisis Response Team member, and IT Security.

Pay: $12.00 - $25.00 per hour

Expected hours: 25 - 29 per week
