GENERAL DESCRIPTION
- Reporting to the Student Affairs Administrator the Student Affairs Coordinator is a full-time position that provides a broad range of administrative support duties for the Division of Student Affairs. This role works closely with the _Student Affairs Administrator_ in interacting with various members of the Pitzer community, providing administrative support and coordination for student processes, a wide range of student support efforts, and clerical support to the Division of Student Affairs leadership team. Work is performed without close supervision and involves knowledge of the organization and department policies, procedures and personnel and the exercise of frequent independent judgment in making minor administrative decisions. Responsibilities require significant tact, maturity, collaboration, and the ability to maintain strict confidentiality.

ESSENTIAL FUNCTIONS
- Collaborate with the _Student Affairs Administrator _as the first point-of-contact for the Division of Student Affairs.- Greet students and visitors. Ensure the front office is organized, professional and neat for guests. Extensive contact with students and guests requires tact, flexibility, and a positive attitude. Serve as an information source for students, parents, staff, faculty, and the public.-
- Answer a multi-line telephone and use a high level of judgment in determining the purpose of the call and whether to transfer the call to appropriate on-call personnel or respond directly to a wide range of questions from a variety of constituents. Promptly route and/or return incoming messages and keep outgoing messages up to date.Maintain a working knowledge of the Division of Student Affairs and Pitzer College activities to provide knowledgeable customer service and support to constituents and refer inquiries to the appropriate person or area when required.-
- Utilize a professional demeanor and superior customer service to effectively and cordially communicate with diverse internal and external constituents. Must execute with a high-level of tact, maturity and dependability.-
- Assist the _Student Affairs Administrator _with other duties as assigned.Perform administrative duties for the Division of Student Affairs.- Meet regularly with Student Affairs Administrator to stay abreast of the position’s administrative priorities. Ensure follow through.-
- Draft memos, correspondence, and reports for the Division of Student Affairs leadership team as needed.-
- Coordinate meeting logistics (audio/visual and space needs, communications to participants, catering, etc.), write and distribute minutes, and track follow-up tasks as needed.-
- Provide administrative support to the _Assistant Dean of Residential Engagement and Community Standards_, including but not limited to:- Judicial Council training and hearing logistics (scheduling, audio/visual and space needs, communications to participants, records retention, etc.)-
- Student Code of Conduct revisions-
- Federal compliance requirements (Clery, Drug-Free Schools and Campuses, Vector prevention courses)-
- Monitor office operating budget and process budget-related requests, including payments to vendors, financial reports, reimbursement requests, credit card reconciliation and other budget-related duties.-
- Assist with uploading documents to electronic student files in the appropriate database systems. Create new files, ensure files are updated in a timely manner, and destroy old records according to the department policies.-
- Submit work orders and order supplies for the division as needed and as aligned with the approved budget.-
- This role may also assist the Student Services Operation Manager administratively depending on the needs of the division.Assist with various student support services and communication efforts.- Hire, train, and supervise student office assistants.-
- Working with the _Student Affairs Administrator_, monitor the student listservs by approving incoming communications to students.-
- Coordinate marketing and communications regarding student affairs events, programs and resources utilizing print and electronic media, including social media and website administration. This includes working with the Office of Communications, and other departments.-
- Use Drupal to update multiple webpages for the Division of Student Affairs.-
- Support the Division of Student Affairs Leadership Team with coordination of annual Student Handbook revisions and publication.-
- Assist the Division of Student Affairs with placing and removing holds on student accounts, including notification to students when a hold has been initiated/removed.-
