Brief Description of Duties

Under the general direction of the Executive Director, Student Center, the Associate Director manages the University's comprehensive space reservations and event support services. This position coordinates various university departments and groups in the scheduling and support of internal and external events held in university facilities and outdoor spaces.

**Responsibilities**:

- Manages university-wide event management and scheduling for academic & and co-curricular scheduling, coordinates event information data and briefings related to space use and event coordination and provides training and advisement in successful event planning and production to the university community. They maintain the University's master calendar of events and services, including the priority scheduling processes.
- Serves as the primary event operations coordinator and the department's representative and resource on events-related matters such as planning, coordinating, and scheduling logístical details required to conduct events, seminars, programs, etc., in varying sizes and scopes.
- Manages the Campus Information & Event Center that provides campus information services and serves as the central dispatch area for department building & event staff. The position supervises the Assistant Events & Operations Coordinator, student event assistants, and customer care staff. Provide secondary supervision to other staff on duty regarding event execution and logistics coordination.
- Performs the department's customer evaluation and feedback processes which evaluate event planning through post-event evaluation processes. Addresses concerns and suggestions identified in assessments. Develops and implements improvement plans with the Executive Director.
- Coordinates and participates in on-site department representation for scheduled meetings and events held at university campuses (ex., Van Ness, Bertie Backus/Community College, Old Congress Heights, Firebird Farm, and the Ronald Reagan Airport Hanger). Ensure satisfactory service delivery and monitor proper space use as needed.
- Works collaboratively with the Building & Operations Manager & the Technical Director Building Manager to ensure a clean and safe environment for all programs and events, ensuring event-ready spaces, including opening and closing facilities and liaising with other university staff as necessary.
- Acts in place of the Executive Director in that position's absence.
- Performs other duties and responsibilities as assigned that are related to those enumerated above, which do not alter the basic level of responsibility of the position.

Minimum Job Requirements
- Master's degree required.
- Four (4) years of progressive experience in event management and customer service in a higher education environment. Experience in theater management is a plus.
- Experience hiring, training, and supervising staff.
- Sound understanding of event services (event planning, space scheduling, conference services, etc.)
- Experience using scheduling software programs such as 25Live or EMS.
- Excellent verbal and written communication skills; listening, clearly articulating thoughts/directions/expectations, developing reports/proposals, and making presentations.
- Possess strong interpersonal skills and the ability to establish and maintain effective working relationships with VIP guests, senior government officials, a diverse population of students (post-traditional and international), academic departments, external organizations, and the public.
- Ability to work evenings and weekends as required.

**Collective Bargaining Unit (Union)**: This position is not part of the collective bargaining unit.
