**Description/Overview**
**Veterinary Surgical Center of Long Island (“VSCLI”) **is seeking an experienced **Bookkeeper/Receptionist/Admin **to join our Team.
VSCLI is a Specialty Referral Practice and a 24-Hour Emergency Care Hospital in Huntington, NY. Our brand-new 10,000 square-foot state-of-the-art hospital will open its doors in April 2024 VSCLI’s specialty services include: Emergency, Surgery, and Neurology. VSCLI is seeking an experienced **Bookkeeper/Receptionist/Admin **to join our Team, and assist us in rapidly growing our specialty referral practice and 24-hour emergency hospital. **This shift is from 12 noon to 8pm on weekdays.**
As a Bookkeeper, a proficiency in Quickbooks DESKTOP VERSION is a MUST If you only have experience with Quickbooks online version, it will not suffice. Part of your day will be reconciling daily activity and journaling our activity in Quickbooks. Part of the day will be in Reception, and part of the day will be doing admin work for the CEO. Since this individual will be taking payments from our clients, handling credit cards, debit cards, cash, and personal information, it is critical that this individual be both honest and trustworthy.
This position may also assist CEO in other areas as needed.
**Duties & Responsibilities**
- Assist the CEO with accurately recording all financial transactions.
- Handle all day-to-day bookkeeping responsibilities, such as posting all debits and credits.
- Reconcile general ledger accounts on a regular basis
- Reconcile bank statements and credit card transactions, and other monthly reports
- Reconcile vendor accounts and resolve any discrepancies.
- Manage accounts payable and accounts receivable process
- Assist with staff payroll and ensure compliance with local and federal laws
- Prepare financial reports, including income statements and balance sheets.
- Prepare and filing tax forms and other financial reports as required
- Prepare sales tax filings
- Prepare quarterly payroll returns, W-2 & W-3 returns.
- Assist with year-end closing process.
**Position Knowledge & Skill Requirements**
- Proven experience as a bookkeeper
- Proficiency at an **advanced level in using QuickBooks** - both desktop and online version
- Attention to detail and accuracy in financial record keeping
- Strong analytical, mathematical, and problem-solving skills
- Excellent organizational and time management abilities
- Strong communication skills, both written and verbal
- Ability to prioritize tasks and manage time efficiently.
- Strong knowledge of public accounting principles and practices
- Proficiency in general ledger reconciliation
- Experience with payroll processing highly desirable
- Experience with sales tax processing highly desirable
**Position Qualifications**
- 3+ years bookkeeping experience
- Proficiency at **advanced level** with **Quickbooks** is a must
- MS Excel and Word
- Associate’s degree required
- Bachelor’s degree preferred.
- Data entry experience.

Our **state-of-the-art hospital** is equipped with a Canon 128 slice CT, Magnetic Resonance Imaging, 2 digital radiology rooms, endoscopic equipment for endoscopy, arthroscopy, and laparoscopy, ultrasound, laboratory, and Snyder oxygen cage.
**Duties & Responsibilities**
- Greeting clients and patients in a friendly, kind, and respectful manner
- Answering phone calls in a friendly, kind, and respectful manner. Also, directing clients to appropriate departments as well as giving approved advice and options for issues and problems.
- Scheduling - Making client appointments as well as confirming appointments. This includes making sure the appointments flow easily and the doctor as well as staff will have enough down time for lunch and or breaks as scheduled.
- Recording messages for doctors and staff
- Computer data entry of patients and referral records
- Record updating
- Processing incoming patients
- Processing invoices and payments
- Recognize and meet client needs.
- Make pets feel welcomed.
- Recognize severe/serious cases in need of immediate attention.
- Keep animals isolated from others when necessary.
- Perform opening procedures such as turning computers on, retrieving messages, returning phone calls, knowing appointments and surgery schedules.
- Making sure Telephone numbers, addresses, and contacts are accurate in our systems.
- Preparing patient charts for technicians and doctors.
- Keeping all lab work tests and make information that is needed for appointments available to the Doctors so that they can relay the information to our clients.
