DC Central Kitchen (DCCK) is a national leader in the future of hunger relief, empowering the next generation of leaders to implement innovative models for combatting hunger, developing food systems, and helping communities to help themselves. The Procurement department is an integral part of this innovative approach with a focus on consistent, efficient, and responsible procurement and purchase of product and supplies for the organization. This department works collaboratively with our Food Recycling/Meal Distribution and Revenue Generating Programs and is also responsible for contract negotiation for long-term contracts, sourcing to identify suitable vendors for various products and services, managing vendor relationships, and identifying the best solutions to support the goals and the mission of the organization.

POSITION DESCRIPTION:
The Procurement Coordinator will assist with many of the administrative tasks for this department. This coordinator will focus on orders for the Klein Center, working very closely with the Procurement Manager to place daily food and supply orders for production. This role will assist with data entry around placing orders for various departments and will maintain the upkeep of ordering outlines. They will assist the Healthy Corners team with their orders and attend the team’s weekly meetings, they will also support the Workforce Development team with their orders as well as the Café and catering teams. The coordinator will scan all invoices received and will work with vendors to request invoices as needed. They will also be responsible for entering data for local invoices and approving invoices that are assigned to the Procurement team in the automated Accounts Payable system. The coordinator will assist with donation receipt review and food recovery inquires as needed. They will also assist with orders and reporting for the Capital Area Food Bank. This role will play an essential role in our volunteer gleaning program by leading trips and assisting with scheduling. The coordinator will also assist with running truck farm events on a monthly basis.

DUTIES AND RESPONSIBILITIES:
Donations:

- Field food donation inquiries, manage the DCCK Food Recovery inbox, and schedule pickups with transportation as needed.
- Connect donors with another non-profit partner if the donation is not suitable for DCCK.
- Ensure all donations are entered into the donation form.
- Place weekly orders with Capital Area Food Bank.
- Assist with Gleaning Program from June-October, including running gleaning trips 1-2 times a month and assisting with gleaning communication with farms and volunteers.

Purchasing:

- Assist with placing daily orders for all food items for Klein Center production with Broadliner, Produce, milk, and bread vendors, and with the weekly order for DOD Fresh.
- Attend the weekly production meeting, take notes, and assist with responding to Kitchen Production Issues tickets about product shorts and needs, working with Nutrition and Materials Management to find solutions.
- Assist with the creation of the Ordering Outline and scaling recipes from Mosaic into the Ordering Outline.
- Place orders for the Workforce Development department and daily orders for Healthy Corners to meet fruit needs as required.
- Assist Café and Catering teams by providing training or directly placing orders, as per the process developed with the Director's assistance. Additionally, support the Director in creating order guides and pricing for Café and Catering, and visit cafes for ordering training as needed, aiming for monthly visits to each café.
- Manage school orders and compliance for 25 schools, including monitoring, reviewing, and ensuring accuracy and submission.
- Provide one-on-one training and assistance to schools on ordering, including visits to two schools per week.
- Assist Associate Director with managing ordering log, updating lists, and responding to school inquiries.
- Coordinate with Broadliner, produce vendor, milk, and bread vendors to ensure accurate and timely deliveries for school orders, and communicate promptly with leads regarding any product shortages or substitutions.
- Manage Field Trip Requests.
- Place monthly orders for Fresh Fruit and Vegetable Program (FFVP) orders product and ensure delivery for FFVP based on monthly menus to all schools in program.
- Place orders for Nutrition Team for recipe testing and nutrition education.
- Place bi-weekly kitchen supplies order for the Klein Center working with Materials Management to get inventory.

Vendor Partnerships:

- Attend weekly or monthly Broadliner vendor meetings.
- Assist School leads with any issues related to other non-food direct school vendors such as Ecolab, Cozzini brothers, and Drink More water.
