This role includes working closely with the leadership team, alongside our brand studio team, to create strategic event plans and event experiences across Nasdaq.

The Event Specialist will have experience growing established events, as well as launching new events, and will work cross functionally between content, marketing, design, production and sales to deliver a cohesive experience for conferences across our brand.

The ideal location for the role is in New York working out of Nasdaq’s Times Square headquarters. This position reports to the Global Head of Events.

**Responsibilities**:

- Develop and implement the corresponding event plan, including materials creation, invitation creation and audience development plan, branding, speaker outreach, prep and more
- Manage master timelines and project manage event success across various teams, setting and implementing deadlines
- Create and manage budgets at all steps of the event, starting at the conceptualization process, processing invoices and reconciling budget post-event
- Strict adherence to meeting protocols (cost saving measures, risk policies, contract approvals)
- Establish measurable objectives and success criteria for each event
- Act as a liaison between meeting stakeholders, vendors and marketing teams; understand and interpret event objectives and navigate the event planning processes on behalf of the internal meeting sponsor
- Rigorous pre-event promotions and post-event evaluations and ROI analysis. Ability to make data driven recommendations for future participation. Work with leadership to map out growth opportunities
- Report plans, recommendations and results to stakeholders
- Understand how events align with the overall marketing, sales and communication strategy of the company
- Manage projects that have tight deadlines, limited resources, and cross-functional dependencies
- Source appropriate venues to capture vision and objective of event while also meeting budget, size and location/date requirements. Ability to generate RFPs when necessary, organizing data and presenting findings to manager and internal stakeholders
- Manage multiple vendors simultaneously on multiple projects, often in different cities
- Frequent interaction and communication with leadership and external clients through meeting registration and coordination, ensuring to raise any concerns and red flags with advance notice
- Review, manage and negotiate contracts with off-site venues and event vendors; leverage cost savings when applicable (entertainment, transportation, audio visual production, special supplies/materials, temp assistance, etc)
- Responsible for creating and managing registration for all events. Implement audience development plan as part of your master timeline
- On-site support for designated meetings and events to ensure successful meeting execution
- Act as key owner for all on-site event duties including delivering specific operations including general event set up, assisting with registration, production, executive rehearsals, greeting duties and supporting on site program team as needed
- Responsible for generating design requests for signage, including proofing and tracking all necessary deadlines and approvals
- Actively research innovative technologies and experiences to elevate the client experience
- Events Special Qualifications: Strong event management and writing skills, marketing experience required.
- Must have experience producing highly impactful multiple day conferences.
- 5+ years relevant events experience
- Experience in managing numerous events at once and being able to multitask and lead multiple projects simultaneously
- Self-motivated, highly organized, articulate, and have an ability to work autonomously, and possess excellent written and verbal communication skills
- Strong interpersonal skills
- Proficient in Word, Excel and PowerPoint
- Ability to set a strategic experiential roadmap that delivers on revenue opportunities and demonstrates ROI
- Strong grasp on culture, with a keen understanding of what is relevant and insight into event trends that can be leveraged
- Expert written and verbal communicator, with the ability to articulate how abstract creative concepts can deliver on business goals
