Tenant Relocation Coordinator

**Job Summary**:
**Duties**:

- Assist with daily relocation tasks required at multiple sites while working closely with residents to prepare and assist them with all relocation activities.
- Serve as a liaison between Property Management, clients and residents.
- Communicate with third party vendors, including cleaners, moving and pest control companies.
- Survey residents to understand their relocation needs and relocation preferences.
- Participate in and Facilitate resident and community meetings to discuss the relocation process and resident relocation rights and benefits.
- Contact residents to schedule lead inspections, surveys and Housing Quality Standards inspections.
- Coordinate events with members and community partners as needed.
- Identify and connect residents to available resources, including workforce development agencies and social services groups in the community.
- Take inventory of tenants' belongings and furniture, infestation, clutter and hoarding issues.
- Prepare and distribute appropriate notices to affected households regarding the relocation program and ensure proof of resident receipt for notices are received and on file.
- Provide relocation counseling and assistance in compliance with applicable Federal, State, or local regulations.
- Implement relocation policies as outlined in the approved relocation plan.
- Provide weekly and monthly reports to the project manager and development team.
- Regularly update and maintain relocation files, database, relocation tracking reports and additional various reports.
- Prepare agenda for weekly relocation meetings and take minutes.
- Conduct pre-inspection of Relocation Units to ensure they meet decent, safe and sanitary requirements before offering them as a comparable Relocation Unit.
- Notify residents of the move-in date and provide ongoing contact and support to ensure they are prepared to move.
- Provide packing supplies, tips, demonstrations and assistance including light packing and unpacking.
- Assist with utility disconnection and reconnection and completion of change of address forms for households needing assistance.
- Conduct final check-in 72, 48 and 24 hours before the moving date.
- Schedule, coordinate and supervise moves and other move-related tasks.
- Work closely with construction, property management, development, and moving contractors to ensure residents vacate their units per the relocation schedule, surrender keys to the property management and units are properly secured.
- Implement procedures for minimizing resident property damage, including taking inventory of furniture and taking photos or video, and serve as the initial point of contact regarding resident claims of damage or loss.
- In the event of property damage or missing belongings, serve as a liaison between the resident and moving company to facilitate a timely resolution of the claim.
- Interface with residents' families, friends, or social services providers to ensure seamless delivery of services and address relocation challenges.
- Complete all tasks identified in the site work plan and perform other duties as assigned.

**Knowledge/Ability/Skills**:

- Basic principles of maintaining and updating schedules and creating effective notifications.
- Proficiency in MS Office; Word, Excel, Outlook-Calendar and TEAMS.
- Business communication practices and procedures.
- Experience handling sensitive and confidential information.
- Principles and practices of effective recordkeeping and records management.
- Relevant administrative rules, regulations, policies and procedures.
- Must be able to communicate clearly and effectively both written and verbally and have outstanding customer service skills.
- Detail-oriented, highly organized, self-motivated and have the ability to prioritize tasks and projects with limited direction and time constraints.
- Resourceful and flexible as challenging situations arise.
- Willingness to learn and take constructive criticism.
- Must be a good culture fit: open-minded, team player. Must be able to work independently and as a team with a positive attitude and solutions-based approach.
- Ability to effectively and appropriately diffuse or de-escalate difficult situations and people and have a high degree of empathy.
- Identify, analyze and recommend solutions and improvements.
- Reliable transportation to jobsite.

**Education/Experience Requirements**:

- High School diploma. Bachelors degree in Business, Public Administration, Real Estate or other related field is preferred.
- Background in management, social work, customer services or real estate.
- 1 to 2+ years experience in relocation services is preferred.
