**Description**
The Space Exploration Sector (SES) of the Johns Hopkins University Applied Physics Laboratory (APL) in Laurel, MD is seeking an Executive Assistant to perform a wide range of administrative and executive support functions, while maintaining an overall perspective of the administrative objectives, policies, issues, and developments of concern to the Sector Head.

As Executive Assistant, you will provide executive-level administrative support to the Sector Head. In particular, you will:

- Perform electronic calendar management, including scheduling and document preparation, interaction with internal and external executives, fellow Executive Assistants, administrative assistants, and sponsor staff to coordinate and prepare for a variety of executive meetings and engagements.
- Organize meetings with a broad range of APL staff to prepare for upcoming Sector Head engagements.
- Prioritize organizational needs and conflicting demands while meeting a broad range of deadlines.
- Provide conference room meeting support and assist with the preparation of materials to enable efficient Sector operations.
- Review and evaluate correspondence, reports, and written analyses having impact on sector programs, personnel and activities.
- Arrange travel schedules and reservations.
- Work with sponsors, stakeholders, lab management and staff, and provide follow-up assistance as needed. Collaborate with other Executive Assistants that support the members of the APL Executive Council.
- Serve as a resource for Laboratory and Sector practices and procedures. Provide assistance to SES support staff, as needed.
- Support the administrative needs of several other members of the Sector front office.
- Work collaboratively across the SES administrative community.
- Develop and put in place improvements to build the capacity of the SES administrative team.

You meet our minimum qualifications if you have...
- A minimum of 7 years of administrative experience, performing a wide range of executive-level functions or 3 years of responsibility with an Associate’s degree and exceptional accomplishments in administration.
- Recent experience (3+ years) successfully supporting C-suite executives in a professional organization.
- Excellent organization, tact, diplomacy, time-management, communication (verbal and written), and interpersonal skills; a strong and demonstrated ability to interface effectively with all levels of management, internal staff, and high-level external government customers.
- Demonstrated ability to operate as a member of a team in a dynamic, highly interactive environment.
- Extensive knowledge of administrative processes and executive-level support and proven ability to work independently with consultative direction only.
- Ability in leading and/or participating in efforts to drive process changes within an organization. Forward looking problem solver with initiative to actively seek opportunities to make improvements and propose solutions.
- Exercise good judgment, juggle priorities, and balance a diverse workload with competing deadlines and levels of importance in a dynamic environment.
- Strong commitment to detail, follow-up, and follow-through.
- Demonstrated ability to independently and collaboratively identify and resolve administrative issues via internal or external resources.
- Strong sense of urgency, adaptability, flexibility, and resourcefulness.
- Strong proofreading/editing and file management skills.
- Ability to handle sensitive personnel information and organizational data with a high degree of professional maturity and confidentiality.
- Proficient in software programs, such as Microsoft Outlook, Excel, Powerpoint, typically used in administrative management.

- Have a Bachelor’s degree.
- Have strong working knowledge of SES and/or APL policies, practices and procedures, including but not limited to travel, purchasing, security, and property administration.
- Extensive experience with government sponsors.
