As the **Prescriber Medical Administrative (PMAA) Lead**,** you will play a crucial role in coaching and guiding new employees, ensuring they seamlessly integrate into our systems and workflows while upholding the highest standards of quality and professionalism outlined in our company policy and procedures. Operating within a dynamic team environment, you'll thrive in a fast-paced setting, demonstrating superior multitasking abilities and unwavering professionalism, even in the face of challenging situations. You must be highly motivated to excel while working collaboratively with colleagues in a cohesive manner and within a fast-paced environment. Additionally, you're expected to uphold confidentiality standards, comply with HIPAA regulations, and maintain composure and professionalism during stressful situations.

**Key Responsibilities**:

- Answer phones and take patient calls and provide professional, accurate, satisfactory answers to their questions and concerns, including assisting with managing medication refills and prescriber scheduling.
- Guide patients through troubleshooting for telehealth appointments.
- Complete prior authorizations and patient assistance programs for medications when indicated.
- Assist providers in administrative tasks, including those related to clinic licensure and payor compliance.
- Answer general questions about the practice and services provided.
- Answer internal communication questions.
- Coordinate care between patient and providers.
- Schedule patient appointments.
- Collaborate with other team members and locations to provide excellent customer service.
- Prepare patient files for providers.
- Provide overall prescriber and site support.
- Own and manage medication logbook and download prescription monitoring report daily for review.
- Help support clinicians and prescribers on managing waitlist.
- Must maintain a professional dress code at all times.
- Licensed RN/LPN may include coordination and administration of injections.
- Lead and facilitate training sessions for new Prescriber Medical Administrative Assistants (PMAAs), ensuring comprehensive understanding of company systems, workflows, and best practices.
- Provide ongoing coaching and mentorship to new PMAAs, fostering their professional development and ensuring adherence to established quality standards and procedures.
- Collaborate with departmental leaders to identify training needs and develop tailored onboarding plans for new PMAA hires, optimizing their integration into the team and maximizing productivity from inception.
- Other duties as assigned.

**Qualifications**:

- High school diploma or equivalent.
- Exceptional communication skills, both verbal and written, for effective engagement with patients, colleagues, and management.
- Strong interpersonal skills, fostering positive relationships with diverse individuals.
- Outstanding customer service abilities.
- Strong team player with the ability to collaborate effectively, especially in high-pressure situations.
- Demonstrated ability to maintain professionalism and composure in challenging environments.
- Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and familiar with SharePoint.
- Skilled in phone operations, including handling complex or multi-line systems.
- Strong time management, detail-oriented, and organizational abilities.
- Possess a patient, empathic, adaptable, and flexible demeanor.
- Maintain patient confidentiality and adhere to HIPAA regulations.
- Ability to create a safe, patient-focused work environment.
- Desire to perform thorough work in a fast-paced setting.
- Maintain a professional appearance and demeanor at all times.
- Willingness to undertake additional office duties as required.
- Preferred experience in healthcare administration or related fields.
- Experience in a medical office or call center environment.
- Prior experience working as a medical assistant is advantageous.
- Experience with insurance verification, obtaining pre-authorizations, and scheduling for multiple providers.
- Proficiency with Electronic Medical Records (EMR), medical terminology, and basic clinical pharmacology knowledge.
- Strong data entry skills.
- Experience working with patients dealing with anxiety and depression.
- Exceptional interpersonal skills, adept at building rapport and active listening.
- CPR certification or willingness to obtain certification through an accredited program.
