Terminal Operation Administrator

PBF Energy Inc. (NYSE:PBF) is one of the largest independent refiners in North America, operating, through its subsidiaries, oil refineries and related facilities. We have an opportunity at our Martinez Refinery in California and are seeking a talented Terminal Operation Administrator to join our team as a pivotal member that would play a key role here at PBF Energy.

The Terminal Operator Administrator reports to the Logistics Business Team Leader and is part of the Logistics Business Team. They support the refinery’s Logistics and Utilities departments by overseeing and assisting with the payroll records, procurement of materials and supplies, and coordination/organization of events.

Job Responsibilities May Include:

- Responsible for all administrative duties for the Logistics and Utilities departments.
- Supports the following Bill of Lading (BOL) duties:

- Provide support to various carrier and customer contacts
- Point of contact for refinery, customer and carrier
- Troubleshoot and resolve any discrepancies or issues
- Performs cancel, rebill, or manual BOL transitions as needed
- Runs TMS reports as needed
- Communicates inquiries to the Terminal Manager as needed/requested
- Manages communication when the weigh scales or TMS are down.
- Manages and communicates when the weigh scales or TMS are down
- Coordinates with Logistics OMC and Analyzer Inspector for scheduled downtime
- Communicates to security and all other applicable personnel groups impacted
- Creates flyers for drivers
- Supports corporate TMS IT department and local IT when software or hardware changes occur after hours
- Maintains printer/paper/toner supplies for TMS printers (Coke Barn Scale BRM, LPG Rack and North Gate)
- Monitors call card completion tracking for Logistics and Utilities. Provides copies of call cards and/or procedures as requested for internal and external audits.
- Reviews timekeeping entries to meet bi-weekly payroll close for the Logistics and Utilities departments to ensure time is accurately recorded and serves as the backup to the HR Timekeeper.
- Maintains Logistics and Utilities SharePoint department pages.
- Focal point for records management
- Performs final review of all updated procedures for supporting departments, and ensures hard copies stored in control centers are updated.
- Annually renews site Weight Master License working with site security manager to update “deputy names” for license.
- Reconciliates monthly purchase card of Martinez Marina Slip/Wharf Fees.

Position Specific Requirements:
Minimum Qualifications:

- High school diploma or equivalent.
- Experience with computer based timekeeping programs.
- Proficient at using office software such as MSWord, PowerPoint, Excel, Outlook, etc.
