The Operations Administrative Coordinator will add vital support to all departments and branches with various administrative tasks. This individual should have experience working in an office and operations environment, performing administrative tasks, and providing valuable support to managers and coworkers. The ability to multitask, meet deadlines and be a fast learner is essential for this position. Bilingual in English and Spanish required. Previous experience in the landscaping or construction industry is a plus.

Responsibilities Include:

- Creating JULIE tickets for upcoming work. Following up with sales or production for additional information or extension of digs. Collect and report on any damages done while digging.
- Request certificates of insurance and surety bonds from insurance company.
- Releasing of materials for inventory in the system.
- Support marketing department with various tasks such as ordering of business cards, registering for trade shows, managing different spreadsheets for events and sponsorships, gathering information for the company newsletter, ordering of marketing materials, job posting on social media platforms, and ordering of uniforms.
- Support the fleet department with production sheets and maps for equipment drop off/pick up and purchase order detail entry and invoicing.
- Submit GPS reports to clients as required.
- Provide administrative support during snow season operations.
- Other related tasks as assigned.

Job Requirements:

- Bilingual, English, and Spanish speaking required
- High school diploma or equivalent required; college degree a plus
- Proven experience in an administrative or office support role
- Strong organizational and time management skills
- Attention to detail and accuracy in all tasks
- Ability to work independently with mínimal supervision
- Prioritization and multitasking skills
- Ability to communicate effectively both verbally and in writing
- Microsoft Office proficiency (Word, Excel, Outlook)
- Prior experience in landscaping or construction a plus
- Basic accounting principles a plus
