Patient Care Coordinator-physical Therapy Aide

This is a part-time position in our outpatient orthopedic Physical Therapy, Aquatic Therapy and Certified Hand Therapy privately-owned practice. We seek the right person who loves working with people and helping grow the business at our 19th Avenue and Northern Avenue location.

**IN ORDER TO BE CONSIDERED**, clear English diction is required and must submit:

2) a "Resume" detailing experiences that match the practice needs.

Must have reliable transportation, demonstrate consistent attendance, be ready to start duties on time. We will train in all aspects of running a private therapy practice: work with teammates to cover the front desk needs and/or cover the Therapy Aide needs. Require clarity to have others understand you over the phone; Spanish-speaking is a plus. Be able to schedule patients using computer scheduler. Must be able to follow directions, file patient records with accuracy, and accept payments for co-pays, co-insurance and deductibles. Report directly to the Office Manager for supervision for all front office duties AND directly to the Director for supervision for all clinic duties.;
**SCHEDULE (must tell us in the Cover Letter this matches your availability)**:
Mondays and Wednesdays 7:30 am to 6:30 pm or when last patient exits and may be earlier, dependent on Front office needs and therapy tech requirements;

**DUTIES**:Note: we train in all the duties listed.
- Multi-task aspects of front office duties providing exceptional customer service greeting and serving needs of patients as well as developing relationships (referring physicians, their staff and; our patients) to grow the practice;
- Convey information and promote our practice to the referral sources, help increase the referrals sent to our practice;
- Clearly speak with enthusiasm and friendly tone of voice; greet each patient with a smile; and establish name and face recognition with each patient;
- Manage two telephone lines with utmost respect, courtesy and professionalism;
- Schedule our patients appointments using computer program; Manage patient schedules to ensure all are followed per prescription and every patient is scheduled and seen within 24 hours of referral or phone call;
- Demonstrate sound understanding and knowledge of verifying insurance benefits, obtain accurate information for insurance and billing program;
- Track patient benefits to optimize reimbursement for all of the practice, of prescriptions-authorizations-benefits; Check to ensure authorization and orders prior to scheduling;
- Take initiative to complete administrative assignments, thorough in completion and written documentation; ensure productivity exceeds expectations of supervisor(s);
- Team player with positive attitude and willingness to help other team mates and patients; communicate effectively with all team mates;
- Timely copy, FAX, and file written documentation of records;
- Scan records;
- Answer patient questions or help find the answer with other team mates, follow-up with claims, and direct inquiries appropriately with timely follow-up as needed;
- Accurately manage copay/coinsurance patient responsibilities and fiscal aspects of patient claims;
- Efficiently manage all records following HIPAA law;
- Organize and clean storage room and file cabinets for patient records;
- Ensure clinical team optimizes clinical productivity, referral and patient satisfaction; and
- Reports directly to Office Manager and to practice owner (whether on or off-site).
- Assist therapists with ensuring all forms are readied prior to patient service; form copies prepared in advance, daily records completed and all required paperwork is faxed in time frame required; filing of records following HIPAA;
- Assist therapists to follow requirements by cross-checking administrative procedures;
- Take initiative to complete administrative assignments, thorough in completion and written documentation, consulting with Office Manager as needed;
- Assist Director with marketing tasks and mailings in timely manner;
- Team player with positive attitude and willingness to help other team mates and patients;
- Direct patient questions to therapist or help find the answer with other team mates;
- Primary responsibility in cleaning between every patient visit, cleaning pool room-restroom sink, toilet, and shower, and changing room; Cleaning of utility room.
