**Patient Service Coordinator Position**
Hours: 8:00am - 4:00pm
Position Type: Full Time
**Roles and Responsibilities**:
The Patient Service Coordinators (PSCs) are generally the first point of contact with our practice. As such, the priority is to provide exceptional customer service. The duties of a patient service coordinator include but are not limited to the following:
- Answer phone calls in a prompt and polite manner.
- Schedule appointments for in-office visits, televisits, and MDVIP Annual Wellness Program (AWP) visits.
- Confirm patient appointments.
- Schedule urgent radiology tests, if required.
- Assist patients with scheduling urgent consultations with specialists.
- Send faxes.
- Upload faxes and consult notes to chart and send to the physician.
- Review Johns Hopkins CareLink documents and upload to chart.
- Send prescriptions and respond to refill requests.
- Place lab or imaging orders, as directed by the physician.
- Send referrals to specialists.
- Perform Prior Authorizations for prescriptions and send appeal letters for rejections.
- Type letters for correspondence.
- Retrieve and scan important documents from CRISP and our old medical record system.
- Complete lab requisition sheets for AWPs each week.
- Confirm receipt and print labs and Cleveland Heart Lab results for AWPs.
- Scan AWP Part 1 and send to the physician.
- Compile folders for AWP appointments and deliver them to the physician.
- Collect patient co-pays and past due balances promptly.
- Review and confirm patient demographic information, preferred pharmacy, and insurance benefits upon check-in.
- Inform physician or management of any inactive insurance coverage before the patient appointment.
- Perform patient check-out, including review of orders and scheduling follow-up.
- Call MDVIP patients who are due for scheduling their AWPs.
- Review MDVIP portal weekly for cancellations and/or suspensions from program.
- Request pre-operative orders from surgeons’ offices to forward to the physicians.
- Complete requests for medical records.
- Reschedule patients if the Medical Assistant (MA) or physician is out of the office.
- Forward all labs, messages, prescription refills, results, and faxes to the covering physician, when the primary physician is out of the office.
- Provide coverage for PSCs who are out of the office, as needed.
- Help clean exam rooms when asked or available.
- Cross-train to learn MA duties.
- Provide cross-coverage for the MAs, if required.
- Attend staff and management meetings.
- Other duties as assigned.
**Required Qualifications**:
- High School Diploma.
- Comprehensive knowledge of medical and insurance terminology.
- Knowledge of medical insurance plans.
- Excellent customer service skills, computer, and organizational skills.
- Minimum of two years medical office experience.
- Proven stability in previous employment positions.
**Desired Qualifications**:
- Prior experience with Athena electronic medical records system.
- Prior experience with MA or clinical duties.
- Five years or more of medical office experience.
