Administrative Duties:

- Creating and distributing administrative materials as requested including business cards, name plates, mailboxes
- Scanning and filing various correspondence and documents as appropriate based on the needs of the agency
- Revising administrative documents including organizational charts for various departments in the agency, office phone directory list, etc.
- Tracking and regulating administrative related policies such as quarterly payments in lieu of health insurance
- Updating bulletin boards throughout the building in breakrooms, etc.
- Recording and logging incoming checks and payments for Finance
- Assist with covering Reception when needed
- Data entry
- Performing all other work related duties as assigned

Mail Functions
- Sorting and distributing incoming mail and faxed documents when necessary
- Transmitting outgoing correspondence daily
- Tracking and ordering ink cartridge and mailing supplies as needed.
- Monitoring and adding funds to postage machine when needed
- Reporting postage machine balance to Finance team monthly

Scheduling
- Coordinating and scheduling meetings
- Booking conference rooms and reserving space for meetings
- Monitoring Reception coverage schedule

Office and Breakroom Supplies
- Assisting with inventory tracking of office supplies
- Maintaining and stocking the café and breakroom areas

**Requirements**:

- HS Diploma
- 2-5 years administrative or office experience
- Office management software like MS Office (MS Word, MS Excel)
- Knowledge of office administration procedures
- Organizational skills
- Effective written and verbal communication skill
- Customer Service, Teamwork
