The HR Specialist will support the Account Manager in managing labor relations, disciplinary actions, policy and procedure enforcement, and handling union grievances for a staff of 200+ janitors assigned to our school district contract. This role is dedicated exclusively to this contract and requires excellent organizational, communication, and interpersonal skills. The HR Specialist will report directly to the corporate HR team.

**Key Responsibilities**:
Labor Management:

- Assist the Account Manager in overseeing daily labor operations.
- Monitor workforce productivity and ensure staffing levels meet contract requirements.
- Coordinate with the scheduling team to manage employee shifts and coverage.

Disciplinary Actions:

- Implement and enforce company policies and procedures.
- Handle disciplinary actions in accordance with company guidelines, ensuring fair and consistent practices.
- Document disciplinary actions and maintain accurate records.

Policy and Procedure:

- Ensure all employees are aware of and adhere to company policies and procedures.
- Provide training and guidance on policies, procedures, and compliance requirements.
- Update and revise policies and procedures as necessary to reflect changes in regulations or company practices.

Union Grievances:

- Handle union grievances in collaboration with the Account Manager.
- Serve as a point of contact for union representatives regarding labor issues.
- Facilitate resolution of grievances through negotiation and mediation.
- Ensure compliance with collective bargaining agreements.

Employee Relations:

- Act as a point of contact for employee inquiries and concerns related to HR issues.
- Assist in resolving employee conflicts and issues in a fair and consistent manner.
- Foster a positive and inclusive work environment.

HR Administration:

- Maintain accurate and up-to-date employee records in the HRIS system.
- Ensure compliance with federal, state, and local employment laws and regulations.
- Prepare and submit regular reports on HR activities and metrics to the corporate HR team.

Qualifications:

- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- Proven experience as an HR Specialist or in a similar HR role, with experience in labor relations and disciplinary actions.
- Strong knowledge of HR best practices, employment laws, and union relations.
- Proficiency in HRIS and Microsoft Office Suite (especially Excel).
- Exceptional organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with integrity and professionalism.
- Strong problem-solving skills and attention to detail.

**Physical Demands**:
While performing the duties of this job, the employee is regularly required to talk or listen. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

**Position/Expected Work Hours**:
This is an exempt full-time position; days and hours of work are Monday through Friday, time to be determined. Occasional evening and weekend work may be required as job duties demand.
