The Admissions Coordinator will play a pivotal role in facilitating the intake and enrollment process for new clients seeking ABA therapy services. This position demands outstanding organizational skills, effective communication abilities, and a genuine passion for assisting individuals and their families. The coordinator will be tasked with a diverse range of responsibilities, spanning from client intake and discharge procedures to stakeholder communication and data analysis. Meticulous attention to detail and the ability to collaborate seamlessly with cross-functional teams are essential for success in this role.

**Key Responsibilities**:

- Assist clients with the initial ABA intake process, including intake interviews with prospective clients, gathering relevant information to assess eligibility for services, entering client information into required databases, and coordinating with Board Certified Behavior Analysts (BCBAs) or clinical staff members to schedule assessments.
- Provide support to families throughout the intake process, addressing inquiries and ensuring a smooth transition into services.
- Maintain a professional and compassionate demeanor in all interactions with clients and their families.
- Monitor the timeline and status of intakes, following up with necessary team members as required.
- Organize incoming intake documents into designated company systems such as Google Drive, Asana, or Aloha.
- Ongoing tracking and monitoring of received documents and those still pending, facilitating efficient processing.
- Provide support to families through the discharge process, ensuring adherence to timelines and requirements.
- Handle sending and receiving faxes as part of administrative tasks.
- Communicate effectively with various stakeholders including clients, doctors, nurses, social workers, and local providers.
- Assist in benefit checks, obtaining and maintaining client authorizations for services.
- Engage and collaborate with the insurance team in dispute resolution processes for any authorization denials.

**Data Analysis**:

- Collect and analyze data to identify trends and opportunities for process improvement within the Admissions Department

**Record Keeping**:

- Ensure meticulous record-keeping of company information, systems, and processes, maintaining organized documentation.

**Team Collaboration**:

- Collaborate with cross-functional teams to streamline processes, enhance efficiency, and implement best practices.
- Contribute actively to team meetings, sharing insights and ideas for continuous improvement.

**Additional Responsibilities**:
**Qualifications**:

- Bachelor's degree or equivalent experience in a relevant field.
- Proven experience in administrative support roles, preferably in healthcare or related sectors.
- Proficiency with Google Applications and familiarity with project management tools such as Asana.
- Excellent communication skills, both written and verbal.
- Strong organizational abilities with a keen eye for detail.
- Ability to multitask, prioritize tasks effectively, and meet deadlines in a dynamic environment.
- Demonstrated ability to work collaboratively in cross-functional teams.
- An overall understanding of ABA services is preferred.
- Understanding of healthcare insurance processes and terminology is desirable.

**Job Type**: Part-time

Pay: $21.00 - $24.00 per hour

Expected hours: 10 - 15 per week

Schedule:

- Day shift
- Monday to Friday

Ability to Relocate:

- Nashua, NH 03062: Relocate before starting work (required)
