**Systems Coordinator Position Overview**

**Outline - **This Project Administrator (PA) will support Systems Department Project Managers and field staff in the administration of jobsite projects.

**Specific Requirements -**
- Organize and schedule meetings and appointments.
- Submit and reconcile reports, spreadsheets, and billings.
- Submit permits and call for inspections / maintain permit log.
- Create job books, O&M manuals, warranties, and equipment manuals.
- Assist Project Managers and field staff with customer quotes, letters, panel legends, certificates of substantial completion, submittals, etc.
- Prepare and track submittals and O&M manuals.
- Coordinate insurance for projects.
- Open jobs and job tickets (prepare documentation for Billing Department, set up files)
- Request certificates of insurance (project and stored material)
- Type all letter quotes and complete bid forms.
- Track and maintain records / reports for all warranty work, estimates, and jobs.
- Complete customer requested pre-qualification information.
- Assist in all areas of HighPoint employee badging requirements & renewals.
- Secure and review project contracts, inform Project Manager of any potential liability risks.
- Communicate bulletins, subcontracts, submittals, and meeting minutes.
- Prepare and maintain subcontracts and ensure vendor’s current certificates of insurance are on file.
- Open and maintain extra work authorization.
- Maintain current sets of project plans, provide updated drawings to the field and the Project Manager as needed.
- Produce and distribute purchase orders.
- Organize vendor certifications and renewals.
- Maintain equipment certifications and maintenance records, download warranty certificates and reports.
- Handle sensitive information in a confidential manner.
- Develop and update administrative systems to make them more efficient.

**Secondary Requirements -**
- Answer, screen, announce and forward incoming phone calls.
- Perform other clerical receptionist duties.
- Organize and schedule meetings and appointments.
- Complete travel time and out of town forms as required for projects - booking hotels.
- Proof and compile report binders
- Proof and compile customer reports before submitting them to the customer.
- Answer and direct phone calls.
- Maintain Project Manager calendar as needed. (out of office assistant, meetings, etc.)

**General Requirements -**
- Ability to pass preemployment and random drug test.
- High School Diploma - or the equivalent (for example, GED).
- Strong administrative experience preferred.
- Proficiency in Microsoft Office Applications.
- Strong multi-tasking & prioritizing abilities.
- Strong organizational skills and excellent follow-up skills.
- Motivated to stay busy with tasks daily, and a self-starter.
- Reliable transportation.

**Work location - **Belmont office.This position requires in-person attendance.

**Compensation - **Pay is hourly with an anticipated 40 + hours a week, Monday - Friday.

**Building and Construction - **Knowledge of materials, methods, and the tools involved in the construction of buildings, electrical equipment, industrial processes, preferred but not required.

**English Language - **Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
