All County Exteriors, Ocean & Monmouth County’s leader in exterior construction for over 40 years, continues to grow and we are on the hunt for an AWESOME Project Coordinator

**DESCRIPTION**: This role is an addition to our existing Commercial Project Coordinator team and will begin as support for the entire Commercial team. You will be responsible for the organization, scheduling and overall communications of their department of All County Exteriors. While performing as the Liaison between clients, employees, and contractors with scheduling, the Commercial Project Coordinator is also the main point of contact for the internal team’s communications. The Commercial Project Coordinator performs various administrative and office support activities for the office, in general, and serves as lead assistant for the Manager. The position includes project tracking; project follow-up; preparing submissions to clients; arranging and preparing materials for meetings; assisting with proposals; subcontractor invoice review; billing; filing and other general office support, as required. The Commercial Project Coordinator oversees the scheduling of internal team meetings as well as recording and distributing the meeting minutes for this department as required. The Project Coordinator is expected to contribute to improvement of client experience, workflow and internal processes.

**ESSENTIAL FUNCTIONS**:

- Ensure every inbound inquiry is answered as quickly as possible.
- Management of the Department’s calendar and scheduling
- Assign Leads to appropriate Estimators.
- Assist with Proposals as necessary.
- Ensures proper “Bidding follow ups” are performed.
- Create and manage PO’s.
- Coordinate Project starts and completions.
- Ordering and scheduling of materials, containers, equipment, etc.
- Plan and manage team goals along with the department Manager.
- Manage the Pipeline & Backlog
- Communicates input, suggestions, and insight with management to identify and define solutions and objectives to known problems.
- Updates and communicates daily in trainings and meetings.
- Supports all team members as needed.
- Ensure compliance with company terms and conditions.
- Maintains files and logs in accordance with established procedures.
- Prepares and submits daily/ weekly/ monthly reports.
- Reviews daily schedules and updates schedules as needed.
- Communicates with Manager as to any calendar/ scheduling updating that is required.
- Ensure that all required documentation and/or pictures, etc. are uploaded for each file as required.
- Assist in implementation of new processes for improving customer experience.
- Other duties as assigned by Management.

**Requirements**:

- Experience in project coordination and scheduling
- Proficient in the use of CRM's and the Microsoft Suite
- Strong time management skills with the ability to prioritize tasks effectively
- Knowledge of construction management principles and practices is helpful
- Excellent communication and interpersonal skills
- Attention to detail and strong organizational skills

Pay: $25.00 - $36.00 per hour
