The Billing/Invoicing Specialist will be responsible for managing and executing billing procedures for a contract involving a dedicated staff of 200+ janitors at a school district. This role is exclusively dedicated to this contract and requires meticulous attention to detail, strong organizational skills, and a commitment to accuracy. The Billing/Invoicing Specialist will report directly to the corporate finance team.

**Key Responsibilities**:

- **Billing and Invoicing**:

- Generate and process invoices accurately and in a timely manner for the school district contract.
- Ensure all billing information is complete and correct, verifying against contracts and agreements.
- Address and resolve any discrepancies or issues related to billing.
- **Documentation and Record Keeping**:

- Maintain accurate and organized billing records and documentation.
- Ensure all invoices and related documents are filed correctly for easy retrieval and reference.
- Prepare regular reports on billing activities and submit them to the corporate finance team.
- **Client Communication**:

- Act as the primary point of contact for billing inquiries from the school district.
- Communicate effectively with clients to clarify billing issues and resolve any discrepancies.
- Ensure a high level of customer satisfaction through professional and courteous interactions.
- **Coordination with Internal Teams**:

- Collaborate with the on-site management team to ensure accurate reporting of hours worked and services rendered.
- Coordinate with the corporate finance team to ensure alignment on billing processes and practices.
- Work with the payroll and HR teams to verify employee hours and other billing-related information.
- **Compliance and Auditing**:

- Ensure compliance with all relevant federal, state, and local regulations related to billing and invoicing.
- Participate in internal and external audits as required.
- Implement improvements in billing processes to enhance efficiency and accuracy.

**Qualifications**:

- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
- Proven experience as a Billing Specialist, Invoicing Specialist, or in a similar role.
- Strong knowledge of billing procedures, accounting principles, and regulatory requirements.
- Proficiency in billing software and Microsoft Office Suite (especially Excel).
- Exceptional attention to detail and accuracy.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with integrity and professionalism.
- Strong problem-solving skills and ability to work independently.

**Physical Demands**:

**Position/Expected Work Hours**:
This is an exempt full-time position; days and hours of work are Monday through Friday, time to be determined. Occasional evening and weekend work may be required as job duties demand.
