Summary:
To assist the Fuel Distribution Manager and Fuel Distribution Facilities Manager in implementing and maintaining the statewide Fuel Distribution System working assisting employees, vendors, customers, and the public following the protocols, policies, and procedures regarding use of the system. Verify and balance financial statements, and retrieve, compile, and report accounting data concerning financial transactions of expenditures and income for Fuel Distribution.
YOUR EXPERIENCE COUNTS - Under a recent change to the rules, an applicant's relevant experience now counts towards formal education degrees referenced below _See Per 405.1 _.
18 Months of additional relevant experience = Associate's degree
36 Months of additional relevant experience = Bachelor's degree
54 Months of additional relevant experience = Master's degree
MINIMUM QUALIFICATIONS:
Education: Associate's degree from an accredited institute of higher education with major study in accounting or business management, or completion of two years of college with a minimum of six semester hours in accounting. Each additional year of approved formal education may be substituted for one year of required work experience.
Experience: One year of experience in bookkeeping or accounting work. Each additional year of approved work experience may be substituted for one year of required formal education.
License/Certification: None required.
SPECIAL REQUIREMENTS: All accountabilities must be performed in accordance with State and Department rules and policies, including risk management, safety and environmental standards, regulations and administrative orders.
**Responsibilities**:
Originates, processes, reconciles, and issues all invoices for accounts receivable to customers of the Fuel Distribution System to receive payments for fuel purchased. Retrieves data to provide monthly income details at the end of each month, and at the end of the fiscal year.
Verifies, posts and processes documents for accounts payable using the State’s financial programs to allow for payment of fuel delivered, contract payments, equipment, and supplies purchased.
Audits and reconciles payments made and received using the State’s financial systems. Retrieves the data to provide monthly expenditure details at the end of each month, and at the end of the fiscal year.
Issues authorization devices to Fuel Distribution customers as well as provides customer service for walk-in customers; includes maintaining data files within the Fuel Management System and other computer systems as necessary to maintain the integrity of the database.
Performs secretarial duties using modern personal computer systems and programs such as Microsoft Office suite for both the Bureau of Fuel Distribution and the Bureau of Highway Maintenance headquarters section.
Accesses data files on the computer to enter and update various databases to allow the systems to function properly in the support of Fuel Distribution.
