**Position Overview**

The Administrative Assistant under the Business Development Department will play a critical role in ensuring that new client/store openings are coordinated smoothly and efficiently by communicating and interacting with clients and different departments internally. S/he will be responsible for tracking statuses and requests and following up accordingly with multiple departments to ensure clients/customers are provided with support and exceptional service. Additionally, this position will facilitate the efficient operation of the department by performing a variety of clerical and other administrative tasks.

**Key Responsibilities & Duties**
- Following up with smaller scale accounts on proposal statuses (price increase/new product launch proposals, etc.).
- Requesting floor plans and other documents as necessary from clients for new openings and forwarding them to internal departments accordingly.
- Following up with multiple departments including Legal & Compliance Dept. to ensure opening dates are met on time.
- Pulling product list with UPCs/Retails from the intranet as necessary.
- Following up with the field team on client/customer complaints and ensuring response is received.
- Follow up on inter-departmental communication like requesting status on new item submittals, etc.
- Assist department Account Managers with administrative tasks like printing out and bind/package “Business Review Presentations” to help present to the clients during any in-person meetings.
- Participate in meeting calls with clients and department meetings as needed.
- Assist with tracking status like tracking new college/hospital account information requests for Product Management Dept. and Field Operation follow-up.
- Track price increase submittals and approvals. Provide follow-up as directed.
- Respond to and resolve other administrative inquiries and questions.
- Perform other related duties as assigned.

**Qualifications & Skills**
- Associate’s degree required; Bachelor’s degree in related field preferred.
- Three to five years of experience in an administrative role.
- Proficient with Microsoft Office Suite or related software
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
- Excellent organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.

**Physical Requirements**:

- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
