PM is seeking (2) entry to mid-level **Administrative Project Coordinators ** to join our team at our Long Island Farmingdale location. Job hours are 7:30 am to 4:30 pm in person Monday to Friday.

We expect you to work collaboratively and think progressively in a teamwork environment where communication, organization and efficiency is our key to success.

**Responsibilities**:

- Provide administrative support to project managers and field staff.
- Assist in the coordination of project activities, including scheduling, procurement, and subcontractor communication.
- Maintain accurate project documentation, including contracts, change orders, and RFIs.
- Prepare and distribute project reports, meeting minutes, and correspondence.
- Facilitate communication between project stakeholders, including clients, architects, engineers, and subcontractors.
- Help ensure compliance with project specifications, safety regulations, and quality standards.
- Perform general office duties, such as answering phones, filing, and organizing office supplies.
- Bid & Sales Packages & Proposals, Qualifications, Sales Packages & Presentations
- Produce AIA Contracts & various Construction Related Documents
- Project Setup, Billing, Change Estimates, Change Orders
- RFI's, Submittals, Transmittals, Permits, Meeting Minutes & Correspondence Logs
- Subcontractor - verification of Insurance, Lien Waivers, Closeouts
- Sales & Client Setup; Insurance, Purchase Orders, Insurance Certificates
- Various diversified accounting and administrative duties as directed.

**Requirements**:

- Minimum of 2 years of experience in administrative support, preferably in the construction industry.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively in a deadline-driven environment.
- Knowledge of construction terminology and processes is a plus.
- Bachelor's degree in business administration, construction management, or related field preferred.
- Must be good with technology; proficient in Microsoft Office, Word, Excel and Outlook. Sage A+ Notary A+.
- Individual must read, interpret and follow established procedures.
- Possess the ability to work independently and multi-task with accuracy in our fast-paced work environment.
