**Event Coordinator**

World Cafe Live is seeking a full-time Event Coordinator and offers a great opportunity for an organized, creative, and motivated event and hospitality professional, to bring their dedication and enthusiasm to two unique spaces in Philadelphia, and grow with the Events team. The World Cafe Live footprint includes both The Lounge (a restaurant and bar that accommodates 140 seated or 220 standing), and The Music Hall that comfortably seats 300 and expands to accommodate 650 standing. In each space you can expect flawless sound, lighting, and video, on-site production and catering.

Reporting directly to the Events Manager, the Events Coordinator will contribute to every aspect of detailing and execution in support of special events including weddings, bar/bat mitzvahs, corporate meetings, conferences, and holiday parties. This is a full-time salaried position.

**Core Responsibilities**:
Present for all events as day of coordinator, which includes overseeing event drop-offs, set up and break down, supporting staff, and working closely with our clients to ensure successful and memorable events.

Perform event pre-planning activities. Included but not limited to site visits, coordinating details required for weekly events and all-staff function meetings. This requires printing, copying and revising all relevant BEOs and floor plans to ensure precise detail to share with the team.

Build a relationship with past and current third-party vendors, photographers and musicians to obtain quotes for rentals/entertainment and ensure the best price is being offered to clients (balloons, games, valet, DJs, florals, GOBOs, etc)

Demonstrating clear and open communication across departments as a representative of the Events Team and specifically with BOH/FOH event teams leading up to and on event days.

Work with Event Captains to keep an updated inventory of all event supplies, event details and logistics.

Become efficient in our event software (VenueOps), training and developing skills to move quickly but flawlessly through the event logging system.

Work with marketing to update and feature social media posts and advertising around the venue and community.

Positive attitude, especially in challenging or high-pressure situations
- Team oriented mindset, with the ability to work autonomously
- Minimum of 2 years of experience in high volume event planning and management
- Experience in hospitality catering preferred
- Extremely efficient administrative skills
- Well versed in office software, and quick to learn and navigate new platforms
- Ability to become an integral part of the process of increasing Events revenue.
- Ability to multi-task in a high-paced atmosphere
- Availability to work long and flexible hours including nights and weekends.

**Compensation**: This is a full-time position for approx. 40 hours a week with an annual salary range of $44,000-$48,000 commensurate with experience. Additional benefits include: PTO plan, 401k options, travel and cell phone reimbursement credits, and healthcare packages.
