We are seeking a motivated and enthusiastic individual to join our Pumpelly Tire team as an Assistant Office Manager. This role supports the efficient operation of the office by providing administrative and clerical support to ensure the smooth running of daily activities. You would assist in coordinating office procedures, managing office supplies, and overseeing administrative staff to ensure tasks are completed accurately and on time. The Assistant Office Manager also assists in resolving operational issues and maintaining a positive and productive work environment.
- **Responsibilities**:_
- Oversee office procedures and operations
- Assist in the preparation of reports and maintaining appropriate filing systems
- Support budgeting and bookkeeping procedures
- Scan and file invoices
- Enter store deposits, admin deposits, admin invoices into Sharepoint
- Maintain the company’s electronic filing system - check that all folders are relevant, up-to-date, have correct data entry format, etc.
- Receive, sort, and distribute incoming mail
- Help address employees' queries about office management issues (travel arrangements, stationery, hardware, etc.)
- Manage office supplies stock and place orders when necessary.
- **Qualifications**:_
- Proficient in Microsoft365 - Sharepoint, Outlook, Excel, Word, and Access
- Ability to assist the Office Manager in bookkeeping tasks (AP, AR, and payroll)
- Calendar management using Outlook
- Familiarity with office management procedures and basic accounting principles
- Knowledge of QuickBooks Online **is a plus**

- Exceptionally detail-oriented
- **Education and Experience Requirements**:_
- A high school diploma or equivalent is required
- An associate's or bachelor’s degree is required
- **Work Hours**:_

The job will be at Pumpelly Tire on Ryan Street in Lake Charles. Your work hours would be from 7 a.m. - 4:30 p.m., Monday through Friday. You will be reporting directly to the Office Manager, Kelly Butler.
