**Working Hours**:Working hours for this position consist of a 7.5 hour period (between the hours of 7:30am and 8:00pm) exclusive of a 1/2 or 1 hour lunch. These hours to be agreed upon between supervisor and the employee at the onset of employment. Note: This position requires working one evening per week and the first Saturday of each term, including summer sessions. Position may require additional evening and weekend work on occasion with the employee having the option of working this time, in addition to or in lieu of regular hours.

**Summary**: The Quality Control Coordinator is responsible for the customer relations over the Counter in the Records/Financial Aid Office. In addition, they will process and monitor administrative services in the areas of student registration, curriculum management, student demographics, imaging, cross registration and other special registration groups such as dual enrollment from high schools.

**Essential Duties and Responsibilities**:

- Responsible for accurate registration processes over the counter and assist students with web registration issues
- Provide accurate and timely Records functions over the counter such as insurance verifications, academic transcripts and enrollment verifications
- Assure timely and accurate recording of all aspects of student demographics
- Assist with coordinating the imaging process to assure accuracy and timeliness (within two business days)
- Coordinate all aspects of over the counter operations for Records including coordination of hiring, timesheets, training and schedules
- Maintain daily office operational processes
- Coordinate daily communications
- With the assistance of the Records Manager, maintain an office procedural manual for processing over the counter requests
- Provide diagnostic assessment to problem solve discrepancies with regard to registration, curriculum management and demographic issues and correct the errors
- Assist with cross registration, dual enrollment processes and all unique consortium arrangements
- Provide Financial Aid counter coverage as necessary
- Coordinator transcript delivery with National Clearinghouse
- Serve as the point person for dual enrollment registration and work with the cashiers’ office to insure accurate billing. Also, provide follow-up contact with high school personnel, parent’s or students to resolve disputed past records
- Build and maintain degrees. Maintain and coordinate the electronic degree audits with a collaborative effort amongst Division Deans in reference to ongoing revisions and creation of new programs
- Serve advisory functions within the role of a Quality Control Coordinator for assisting with student course selection and informing various administrative personnel of mis-advisement to maintain a higher level of advisement
- Provide other duties as assigned

**Supervisory Responsibilities**:This position does not have supervisory responsibilities; however, they will coordinate the work flow of work-study students.

**Qualifications**:
**Required**:

- Associate Degree from an accredited college or university
- Working knowledge of Colleague software specifically in Records, Registration, Curriculum, Degree Audit, Course Creation and Pre-requisites is mandatory
- Two years of Records experience

**Preferred**:

- Experience working in financial aid
- Bilingual (English/Spanish) is preferred.

**Computer Skills**:To perform this job successfully, an individual should have knowledge of Internet software, spread sheet software; databased programming and word processing software. Working knowledge of Colleague software.

**Certificates**:Must obtain a certificate of completion from the Don Raley Institute or equivalent within one year of employment.

**Other Skills and Abilities**:

- Must possess an exceptional level of attention to detail
- Ability to present information to both individuals and groups

**Communication Skills**: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
