We are seeking a motivated and detail-oriented Administrative Assistant to join our team and contribute to our continued growth.

Job Summary:

We are looking for an Administrative Assistant to provide essential administrative and clerical support to our firm's attorneys. This is an in-office position, with the option to work 4 or 5 days per week. The ideal candidate will be a highly organized, proactive, and reliable individual with excellent communication skills and a strong work ethic.

Responsibilities:

Administrative Support:

  • Handle incoming and outgoing mail and faxes.
  • Manage and maintain physical and electronic files.
  • Maintain and update electronic files and databases.
  • Process incoming documents, including correspondence, pleadings, discovery materials, medical records and insurance claim files.
  • Prepare and respond to emails and other correspondence.
  • Schedule appointments and input deadlines on firm calendar.

Client Communication:

  • Greet clients and visitors in a professional and courteous manner.
  • Communicate with clients regarding case status and requests for information.
  • Maintain client confidentiality.
  • Assist with potential new client intake.

General Office Duties:

  • Coordinate with vendors and other outside entities.
  • Maintain a clean and organized work environment.
  • Perform other administrative tasks as assigned.

Qualifications:

  • Experience as an Administrative Assistant or in a similar role (preferred, but we will consider strong entry-level candidates).
  • Proficiency in Microsoft Word and Excel.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Ability to maintain confidentiality.
  • Experience with Google Workspace is a plus.
  • Experience with legal case management software is a plus.
  • High school diploma or equivalent required.

Wages and Benefits:

  • $20.00 to $25.00 per hour, commensurate with experience.
