What’s the role?

Northwestern Mutual seeks a highly conscientious and experienced Senior Meeting Planner to join our ROME (Restaurant Operations Meetings & Events) team. The Enterprise Meetings Senior Specialist will manage and assist in key phases of conference and meetings contracting, logistical planning, budgeting, housing, and on-site management for a portfolio of meetings and events from Annual Meeting and small to mid-size meetings and events.

In this role, you will engage, interact, and communicate across all meeting and conference program operations teams at the home office and across the country that include all operations divisions in hotels, convention centers and unique venues to ensure all specifics and inclusions for the meetings are accurate.  These duties may include, but are not limited to, managing significant hotel sleeping room accommodations via rooming lists and mitigating potential risk. Hospitality-related operations and event planning experience will be critical to the success of this role, while experience specifically in hotel operations would elevate this role.

Join our ROME team as a Senior Meeting Planner to help business partners increase audience engagement, reduce stress by anticipating potential issues and implementing solutions, organize events that are realistic, budget-conscious and tailored to expectations, and interpret a vision and translate it into a concrete plan.

Primary Duties and Responsibilities

  • Plan and manage events with high profile guests functioning as liaison with all vendors, caterers, and any other contractors associated with events.

  • Support meeting consultants in planning the most complex events.

  • Point-of-contact for logistical items (menu-planning, transportation, rooming lists, registration, room configurations, placement of attendees, etc.).

  • Identify and lead, as appropriate, opportunities for process improvement.

  • Participate in post review and assessment of future inclusions/deletions/process improvement.

  • Resource to hotels, third party caterers, rental companies, AV consultants, production companies, speakers, etc.

  • Lead and mentor support teams.

  • Work closely with Meeting & Event Operations Specialist and Convention Services Manager to ensure core accountabilities and service levels standards are executed.

  • Provide necessary operational and technical support of video conferences and virtual meetings and events primarily using NM supported platforms and Zoom.

  • Assist in the setup and support of virtual conferencing meetings using various platforms and technologies for a pre-determined portfolio of meetings that included a robust technology presence.

  • Ensure continuity and a seamless meeting experience for attendees.

  • Aid staff with virtual conferencing related issues and facilitate resolutions.

  • Work with outside vendors to resolve issues and perform updates/upgrades, as needed.

Bring Your Best What this role needs:

  • Three years of experience in hospitality related jobs in Hotel, Convention Center or hospitality-related Operations (CSM Management, Hotel Room Management, Catering and Event Logistics, etc.)

  • Experience in budget development and management, relationship management with vendors and partners, hotel catering and housing management, technical and non-technical vendor leadership and direction, and VIP meeting management.

  • Proficiency in a space planning tool such as Delphi, Momentus, Cvent and Social Tables preferred.

  • Knowledge of food and beverage preparations, service standards, and hospitality service etiquette

  • Demonstrated experience working in a fast-paced, dynamic work environment.

  • Demonstrated ability to exercise independent judgment and discretion to make decisions in a timely manner, often with limited information and under tight deadlines.

  • Bachelor’s degree in events management, business, communications or equivalent work experience.

$51,170.00

Pay Range - End:

$95,030.00

At Northwestern Mutual, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case.
